Responsibilities & Qualifications
  • Provide daily administrative support across all Schools and Programmes within the campus Academic Department.
  • Compile, manage, and distribute academic reports and relevant documentation.
  • Capture and maintain accurate student records in the academic system.
  • Assist with preparation for campus PULSE and Groups Internal Audits.
  • Support academic counselling during registration periods, including identifying assisting at-risk students.
  • Support the Student Evaluation of Teaching (SETS) process and attend academic department meetings, capturing minutes as required.
  • Assist with student disciplinary hearings and ensure compliance with academic policy.
  • Meet project deadlines as determined by the Head: Academic or National Office.
  • Administer day-to-day academic management of the campus lecturer team across relevant Schools and Programmes.
  • Monitor lecturers’ administrative compliance, including timesheet submission, module allocations, and audit documentation.
  • Maintain the Direct Academic Student Engagement (DASE) tracker and ensure accurate recording of lecturing hours, monitoring adherence to maximum permissible allocations.
  • Notify lecturers and Programme Managers of any changes affecting programmes or allocations.
  • Collaborate with HR and Academic teams to advertise, screen, and onboard new lecturers, ensuring all audit and policy requirements are met.
  • Approve lecturer timesheets on the HR & Payroll system and resolve timesheet queries before payroll deadlines.
  • Support lecturer induction, orientation, and ongoing evaluation processes.
  • Identify lecturer gaps, contribute to recruitment planning, and maintain a pool of suitable candidates for ongoing academic needs.
  • Assist with co-ordination of academic workshops, campus events, and programme initiatives.
  • Liaise with Capacity Planning and Timetabling Centre for module allocations and class visit schedules.
  • Direct academic-related queries to relevant team members and implement directives from National Office.
  • Collaborate across campus departments to ensure operational efficiency and optimal academic performance.
  • Ensure compliance with the Protection of Personal Information Act (POPIA) and other institutional governance requirements.
  • Relevant tertiary qualification in Education, Administration, or related field.
  • Proven experience in academic administration, lecturer management, or higher education support functions.
  • Strong understanding of academic policies, registration processes, and student support frameworks.
  • Experience working with academic management systems and performance tracking tools.
  • Excellent organisational, administrative, and time-management skills.
  • Strong interpersonal and communication skills, with the ability to liaise effectively with lecturers, students, and stakeholders.
  • Attention to detail and accuracy in record-keeping, scheduling, and reporting.
  • Ability to manage multiple priorities in a fast-paced academic environment.
  • Proactive problem-solving skills and compliance-focused mindset.
  • Ability to work independently while supporting academic leadership and team objectives.
