Job description
Main Job Function: Legal Compliance
  • Remain up to date on legal requirements and statutory reports (RMA, MEIBC, Furniture Bargaining Council, BCEA, Employment Equity, Workplace Skills Plan, Annual Training Report) and provide monthly internal reporting on changes in legislation.
Responsibilities
  • Ensure compliance with all employment laws and regulations.
  • Recruitment and selections: prepare job descriptions, post ads, and manage the hiring process.
  • Employee onboarding, administration and probation: assist with the onboarding process.
  • Collating contract documents.
  • Checking and filing all new employee documentation.
  • Manage time and attendance system: track and manage employee work hours, ensuring accurate records and facilitating payroll processing.
  • Assist with weekly payroll input and liaise on payroll queries.
  • Ensure correct shifts are allocated to employees.
  • Address employee leave management queries and assist with leave and sick‑leave reports, confirm and evaluate all sick notes.
  • Allocate and confirm weekly overtime.
  • Employee wellness: support and coordinate wellness initiatives.
  • Learning and development: assist with training reports and training agreements, request training quotes and book courses, Track training in the organization.
  • Culture and change management: support initiatives that improve company culture.
  • Internal HR staff communication: assist with HR‑related communication to and from staff.
  • Disciplinary management: ensure a fair and transparent process following the Code of Good Practice; may include warnings, suspensions or termination, and maintain employee records including disciplinary actions.
  • Ensure all company HR policies are applied consistently.
  • Attend CCMA matters: demonstrate compliance with labour regulations, attend conciliation or arbitration hearings, and document all CCMA matters.
  • General HR administration: draft letters for employees (contract amendments, confirmations, documentation, contracts), draft memos, policies and procedures, and maintain employee records.
  • Keep all documentation, policies and procedures compliant.
  • Analyse HR metrics and data to identify trends and make recommendations for improvement; compile HR reports including HR data and analytics.
  • Payroll administration: maintain the Eco Time and attendance system for upload into the Sage wage system, ensuring both systems are in sync.
  • Council requirements: encumberment must have knowledge of bargaining council rules (Furniture Bargaining Council and MEIBC).
  • Staff and operating policies and procedures: write and maintain company rules, policies and procedures.
Qualifications
  • Grade 12.
  • Relevant HR qualification advantageous.
  • Strong knowledge of HR, time and attendance, and payroll systems.
  • At least 5 years of experience in a similar role.
