We are Hiring: HR Assistant
Location: Johannesburg
Reporting to: HR Manager
The HR Assistant will support the HR Manager across all HR functions, ensuring the smooth running of day-to-day HR operations and supporting a positive employee experience across the company.
Key Responsibilities
- 1. Recruitment & Selection
- Posting vacancies both internally & externally & reviewing & shortlisting suitable candidates.
- Organising & participating in interviews with the HR manager & line managers.
- Contacting applicant references.
- Drafting offer letters, new contracts & other induction documentation.
- Assist with onboarding & induction of new hires.
- 2. Training & Development
- Providing overall proactive support in terms of all training in conjunction with functional managers & the HR Manager.
- 3. HR Compliance
- Providing advice to managers and staff on the interpretation and application of relevant HR policies and procedures.
- Facilitating policy and processes training workshops.
- Ensuring compliance with labour regulations and Company policies.
- 4. Industrial Relations
- Preparing hearing notices as well as warning and suspension documentation, including identification of charges.
- Assisting the HR manager & line managers in the preparation of cases.
- Receiving & documenting grievances in a confidential and sensitive manner.
- Ensuring compliance with labour laws & relevant procedures in implementing disciplinary action.
- 5. Payroll Admin
- Loading, removing & updating employee information on the payroll & updating employee personnel files & submitting changes to the payroll department.
- Submitting monthly spreadsheets containing contingent payroll information to the payroll department by applicable deadlines.
- Ensuring new employee medical aid, group insurance & Employee Self-Service App onboarding.
- Submitting & tracking medical aid & group insurance onboarding & terminations.
- 6. Administration & Reports
- Maintaining the HR SharePoint with accuracy & completeness.
- Managing all administrative aspects of appointments, terminations & promotions.
- Responding to internal and external HR queries & providing assistance.
- Assisting the HR Manager with compiling the ATR & WSP to MICT SETA to ensure successful submission.
- 7. Employee Engagement
- Planning, organising and coordinating HR events, including Reward & Recognition programmes & team recognition activities.
- Enhancing employee engagement & organisational culture.
Minimum Requirements
- National Diploma in Human Resources / Industrial Psychology / Business Administration.
- 1 to 2-year HR administration experience.
- Strong organisational & administrative skills.
- Excellent communication skills (written and verbal).
- High attention to detail & accuracy.
- Proficiency in MS Office.
