Overview

Zeal HR (Pty) Ltd – Finance and Administration Manager position in Paarl. An exciting opportunity to take charge of the school’s financial and administrative functions. This pivotal role combines financial oversight with office management — from budgets, reporting, and audits to admissions, learner records, and daily operations. You’ll be the key link ensuring accuracy, compliance, and smooth systems that support both leadership and the wider school community. Responsibilities
  • Financial Management – Management of learner accounts: enrolment fees, school fees, discounts, payment plans, and outstanding debt; Preparation and issuing of invoices, statements, receipts, and payment records; Handling all financial transactions: EFTs, cash, SnapScan, and card payments; Monthly bank reconciliations and preparation of financial reports; Support in drafting and monitoring the annual budget; Preparation of documentation for interim and annual audits; Processing and monitoring creditors, debtors, and contracts; Oversight of financial policies (collections, debit orders, credits, refunds); Ensuring compliance with legal and financial regulations
  • Administration and Office Management – Management of all administrative processes in the school; Supervision and support of administrative staff (if applicable); Coordination of daily office operations, reception, documentation, and school communication; Management of learner records, enrolment documents, filing systems, and data management; Application and admissions administration: recordkeeping, follow-ups, contracts; Communication with parents, staff, partners, and service providers; Handling correspondence, notices, and administrative reports; Logistical support for school activities, excursions, events, and administrative processes
  • Operational Management – Oversight of certain operational functions: office equipment, supplies, maintenance requests; Management of service providers and school contracts (e.g., cleaning services, security, technology); Ensuring administrative procedures are systematically documented and followed; Identifying and implementing improvements in systems, processes, and practices
  • Human Resources (Basic Administration) – Maintaining personnel files and absence records; Processing timesheets, overtime, and reports for payroll (if applicable); Coordinating documentation for employment, contracts, and training
Requirements
  • Matric with a relevant post-school qualification in Finance, Accounting, or Administration
  • Minimum of 3–5 years’ experience in a financial or senior administrative role
  • Experience in a school environment is a strong advantage
  • Proficiency in computer programs: MS Excel, MS Office, financial systems
  • Understanding of basic accounting principles and audit requirements
  • Excellent communication skills (Afrikaans and English)
  • Ability to work independently, manage priorities, and meet strict deadlines
