Overview

The client is a U.S. based firm that manages companies and funds and provides back office support across multiple client accounts. The business previously operated with a larger team and several VAs, then streamlined through automation and AI. They are now rebuilding key support capacity and need a high quality admin partner who can take ownership of daily execution and help reduce workload across five equity partners.

About the Role

This is a full time remote role for an experienced Executive Operations Assistant who can support a fast moving team with scheduling, inbox support, research, data work, and operational follow through. The ideal candidate is highly organized, tech savvy, and confident writing professional formal English for emails and LinkedIn outreach. You will work across multiple workstreams, learn new systems quickly, and help keep the team focused on high value work.

Key Responsibilities
  • Administrative Support: Manage scheduling, organize articles/documents, and perform data entry and data sharing tasks, overall organizational skill, as well as extracting key information from them.
  • Communication & Outreach: Execute cold outreach campaigns, specifically via LinkedIn DMs. (Sales Navigator)
  • Technical Systems: Perform "system porting" (e.g., migrating data from Google to Microsoft systems or vice versa) and manage data within Excel and Google Sheets.
  • Web & SEO Maintenance: Handle the "admin side" of SEO, including website copywriting (blogs), tagging images with alt-text, and updating WordPress.
  • CRM Management: Utilize advanced CRM systems (specifically Adminify, which uses GHL (GoHighLevel) as well as Hubspot and other standard CRMs) for email campaigns and lead tracking.
  • Research & Reporting: Conduct market research and compile analyst-style reports to support business development.
Qualifications & Skills
  • Technical Proficiency: Experience with WordPress, LinkedIn & Elementor (theme builder for WordPress). Fluent Communication: Must possess professional, formal English skills (written and verbal) suitable for client-facing emails and cold outreach.
  • Familiarity with CRM platforms (Adminify, GHL (GoHighLevel) or similar advanced tools).
  • Strong proficiency in Excel and Google Workspace.
  • Mindset: A critical thinker who takes initiative and does not require "micromanagement" (high "remote readiness").
  • Infrastructure: Reliable high-speed internet with power/connectivity backups.
