Job Title:Executive Personal Assistant (PA) to the CEO

Overview:We are seeking a highly organized and proactive Executive Personal Assistant to provide comprehensive administrative and operational support to the CEO of our company. The ideal candidate will possess exceptional communication skills, strong attention to detail, and the ability to handle a wide range of administrative and executive support tasks efficiently.

Responsibilities:

  • Calendar Management: Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Communication Liaison: Serve as the primary point of contact for internal and external communications on behalf of the CEO, screening and prioritizing emails, phone calls, and other correspondence.
  • Administrative Support: Provide administrative support by preparing documents, reports, presentations, and maintaining accurate records. Handle confidential information with discretion.
  • Meeting Coordination: Arrange and coordinate meetings, conferences, and events, including agenda preparation, venue booking.
  • Travel Arrangements: Plan and organize travel itineraries, accommodations, and transportation for the CEO's business trips, ensuring cost-effectiveness and efficiency.
  • Relationship Management: Cultivate and maintain relationships with key stakeholders, partners, and clients, acting as a representative of the CEO when necessary.
  • Project Assistance: Assist in various special projects, research initiatives, and other tasks as assigned by the CEO, providing necessary support and coordination.

Qualifications:

  • Proven experience (3 years) working as an Executive Assistant, Personal Assistant, or in a similar role supporting executives.
  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
  • Proficiency in office software (Microsoft Office suite, Google Workspace, etc.) and other relevant tools for administrative tasks.
  • Excellent written and verbal communication skills with a professional demeanor.
