Job description
Core purpose of the role

To prepare, deliver and collect Avis Luxury Cars vehicles to and from customers to exceed the customers’ expectations. To prepare and follow Luxury Cars standards with regards to car quality and customer requirements.

Key deliverables and outputs
Operational
  • You will need to have all the knowledge of the Luxury Cars fleet and learn the features and benefits to be able to impress the customer and offer the highest service levels.
  • Able to do VRV’s at short notice which will include preparing the car and driving to the customer.
  • Travel out of town and stay over to deliver and collect a Luxury Car
  • Prepare the Luxury vehicles required for rental as per Daily Movement Schedule and branch procedure.
  • Prepare the vehicle according to procedure and quality checks on the QCE
  • Clean vehicle according to procedure
  • Resolve any discrepancies/irregularities accordingly and report to RSA/Manager
  • Move cleaned vehicle to airport display or regional office car park.
  • Complete relevant sections on QCE and sign off.
  • Maintain the fleet to the highest Luxury Cars standards at all times.
  • Meet and exceed the Customer Survey Index percentage on a monthly basis by meeting the branch procedures and standards.
  • Report any quality discrepancies on car immediately to ensure cars are of the required Luxury Cars standard.
Deliveries (Customer Interaction)
  • Assist in planning the delivery and collection movement schedule for the day/shift and or weekend.
  • All Luxury Cars to be cleaned immediately on term – wipe down all cars at start of shift.
  • Allowing enough time, check route to delivery address.
  • Confirm which colleague is accompanying you to/ from delivery address.
  • Deliver vehicle on time to customer.
  • Confirm validity of driver's licence, passport and credit card
  • If above is not valid, contact office for instructions.
  • Explain Rental Agreement, check car with customer and obtain initials, signature and POS slip (including recording credit card details)
  • Explain features and benefits of the Luxury Car to the customer.
  • Complete the Luxury Cars quality check on the vehicle with the customer and obtain signature.
  • If concerns with above, contact office for instructions.
  • Hand over car keys to customer
  • Return to Branch
  • Hand over Rental Agreement and relevant documentation to Rental Sales Agent.
Collections (Customer Interaction)
  • Assist in planning the delivery and collection movement schedule for the day/shift and/or weekend.
  • The day before the customer is due to term, the RSA will confirm collection time with customer. The RSA will plan who takes the driver to the collection address.
  • Have the signed Rental Agreement, Quality Sheet and QCE in leather folder.
  • Be acquainted with check out damage before leaving for the collection to facilitate checking when at customer.
  • Allowing enough time, check route to collection address
  • Collect vehicle on time from customer.
  • Inspect vehicle for damage with customer using the Luxury Cars quality sheet.
  • If damage is found, assist customer in completing damage report.
  • If concerns with above, explain procedure to customer to resolve at the time. If not satisfactory, call your senior before leaving.
  • Collect car keys from customer and return to Branch.
  • Complete QCE as per check-in procedure
  • Fill the car with fuel and write out a fuel slip. Attach it to the RA.
  • If you are staying over as it is an out-of-town collection, follow branch procedure with regards to requirements when staying over for out-of-town collections
  • Hand over QCE to Rental Sales Agent and damage report if applicable.
Preparing Terminated Luxury Cars
  • Clean the car immediately after it terms.
  • Prepare interior of vehicle according to procedure (Range: Car to be cleaned to Luxury Cars standards - Clear Blue tooth, clear GPS, reset trip meter, ensure all stations are preset for the radio set to local English station, wiped, no-smoking sign etc.)
  • Complete QCE section
  • Once vehicle has been prepared for rental, park vehicle in bay or on display at Luxury Cars at airport.
  • Lock vehicle
  • Take the keys in the completed QCE to the office to go into the safe.
  • RSA to check the car quality of the car with you.
Local Transfers (no customer interaction)
  • Get prior authorisation via email for the use of a RAC VTC
  • Collect VTC from Rental Sales Agent/Despatcher
  • Inspect vehicle condition and complete relevant section on QCE.
  • Drive vehicle according to standard road and Avis Budget requirements (Range: speed, safety belt, locked doors, rules of the road, safe route).
  • Deliver vehicle on time to location (no deviation from route)
  • Complete relevant section on QCE
  • Park vehicle in relevant area (Range: accident, workshop, turnback, available to rent)
  • Complete vehicle details on VTC and hand over with keys and QCE to Manager.
Stakeholders (internal & external customers, suppliers, shareholders, communities)
Customer Service
  • All internal and external customer interactions reflect the Avis culture, values and promises.
Health, Safety and Security
  • Workplace is kept in a neat, dry and hygienic condition.
  • Wear protective clothing supplied (Range: boots, gloves etc.)
  • Equipment and detergents are used according to safety specifications.
  • All assets are secured according to procedure (Range: keys, QCE's, vacuum cleaner, detergents and other cleaning aids)
  • Be aware of evacuation plan and all relevant Health and Safety plans.
  • All concerns to be raised with Supervisor/Manager.
Team Meetings

Attend all Redline team Meetings.

Internal and External Stakeholders

The role requires close engagement and collaboration with key internal and external stakeholders.

Academic Qualifications
Essential:
  • Matric
  • Valid Code 8 Drivers License.
Note:

This position will require working outdoors and a level of general physical fitness.

  • Previous experience as a Driver.
