SCOPE

Reporting to the Associate Vice-President, Facilities Management, the incumbent plays a vital role in supporting the strategic and operational activities by conducting research and analysis to prepare dossiers on policies, strategic initiatives, and other key matters. They support the Associate Vice-President in the planning and coordination of select committees, projects, and events.

PRIMARY RESPONSIBILITIES
  • Collect, review and analyze data and documentation from different stakeholders, ensuring strategic relevance and accuracy while maintaining sensitivity and confidentiality.
  • Prepare reports, analysis, and other materials in French or English to support executive decision-making and provide recommendations based on findings to inform strategic priorities.
  • Lead, plan and coordinate projects as defined by departmental needs.
  • Manage the AVP’s agenda and priorities to ensure alignment with strategic objectives. Coordinate key meetings, anticipate upcoming needs, and synthesize information from various files to brief the AVP and support timely, well-informed decisions.
  • Collaborate with the AVP FM and relevant stakeholders in preparing materials for Finance and Real Estate Committee meetings of the Board of Governors, ensuring strategic alignment and timely delivery.
  • Monitor the progress of files within FM in order to achieve the set objectives, identify issues, propose solutions and inform the AVP to obtain authorization to proceed when necessary.
  • Prepare project reviews; analyze, research and collect data from internal and/or external constituents as needed and respond to inquiries from internal and external constituents as required. This involves interfacing with a wide variety of individuals, research on a wide variety of topics, compilation and maintenance of files, analysis, evaluation and synthesis of data and information.
  • Collaborate with the FM management committee to proactively manage strategic initiatives and follow-ups.
  • Conduct research, information analysis and synthesis for new and ongoing projects as well as initiatives. Make recommendations based on the analysis. Involve different stakeholders based on specific needs.
  • Coordinate the activities of other administrative assistants within the department to ensure efficient management of operations, including the standardization of processes across Facilities Management (FM).
  • Manage the daily activities, the scheduling and resource management of special projects and initiatives.
  • Perform other duties in support of the operation of the department.
QUALIFICATIONS
  • Bachelor’s degree in Business Administration or in a field relevant to the primary responsibilities and one to two years of pertinent work experience.
  • Good knowledge (Intermediate level) of Word and of Excel (to create spreadsheets and charts), PowerPoint (to create presentations), and Adobe Acrobat.
  • Very good knowledge (Level 5) of spoken and written English and French.
  • Excellent organizational skills, detail-oriented, efficient, and superior interpersonal and problem-solving skills.
  • Ability to work under pressure and meet short deadlines.
  • Ability to work autonomously and with little supervision.
  • Customer service focused and proactive.
