Overview

We are seeking a highly organised, detail-driven Compliance & Corporate Administration Coordinator to support the governance, regulatory, and administrative operations of our international private equity group. This role is ideal for someone who thrives on structure, accuracy, and keeping complex corporate information running smoothly.

This is a hybrid role based in South Africa, supporting a global group of companies across the UK, SA, and other jurisdictions.

Responsibilities
  1. Mail, Notices & Corporate Tracking
    • Collect, monitor and distribute all mail from our virtual mailbox.
    • Maintain a central tracker for incoming mail, notices and required actions.
    • Maintain trackers for: mail; insurance policies & renewals; legal notices / formal correspondence.
  2. Inbox Monitoring & Triage
    • Monitor several shared corporate/legal inboxes.
    • Flag and forward time-sensitive items to the correct stakeholders.
    • Log and track all important correspondence.
  3. Corporate Data Management
    • Maintain our master company tracker for multiple entities, including:
      • UTR, VAT and PAYE details
      • filing deadlines (confirmation statements, annual accounts, tax returns, etc.)
    • Build out the tracker with additional corporate data: directors, shareholders, key company information.
  4. Document Management & Filing
    • File and organise corporate and operational documents in Box.
    • Maintain logical, clean folder structures and consistent naming conventions.
    • Build and maintain “company profile” folders for each entity.
  5. Access & Login Management
    • Maintain secure login/password lists for:
      • Companies House
      • HMRC
      • corporate/legal inboxes
  6. Routine Companies House Filings
    • Prepare and submit standard filings such as:
      • confirmation statements
      • changes of registered office
      • director appointments/resignations
Additional / Growth Responsibilities

(Training provided)

  • Maintain an internal employee directory (roles, phone numbers, locations, birthdays).
  • Set up calendar reminders for all statutory deadlines and renewals.
  • Build and maintain shareholder and director registers for each company.
  • Support updates to group cap tables after share issues or transfers.
  • Standardise and streamline filing systems across all group entities.
  • Manage a template library (NDAs, board minutes, resolutions, letters).
  • Assist with Google Workspace admin:
    • creating new email accounts
    • managing groups & distribution lists
    • joiner/leaver access management
What We’re Looking For
  • Experience in compliance, corporate admin, legal administration, company secretarial support, or similar.
  • Strong attention to detail and exceptional organisational skills.
  • Ability to work with confidential information discreetly and professionally.
  • Comfortable working with multiple entities and stakeholders across jurisdictions.
  • Proactive, disciplined, and able to manage recurring deadlines.
  • Familiarity with Companies House, HMRC, or similar corporate portals is an advantage (training provided).
  • Strong tech literacy, especially in cloud filing systems (Box, Drive, OneDrive) and Google Workspace.
