Job summary

A dynamic virtual assistant company is seeking a Personal & Executive Virtual Assistant to support a multi-business entrepreneur. The ideal candidate will handle personal organization, email management, and light executive tasks. Required qualifications include strong bookkeeping experience, proficiency in QuickBooks and Excel, and 3 to 5 years in a similar role. This is a 100% REMOTE position with a salary range of $800 - $1,100 a month and various unique bonuses.

Qualifications

Job Description

We are seeking a Personal & Executive Virtual Assistant to support a multi‑business entrepreneur overseeing several ventures. The focus is on personal organization, email management, and light executive tasks. This role requires excellent multitasking, adaptability across industries, and comfort using AI tools to streamline tasks.

Key Responsibilities
  • Manage and organize multiple email inboxes across businesses (initial cleanup + ongoing management).
  • Calendar management, scheduling, and reminders.
  • Personal assistant duties (task tracking, follow‑ups, coordination).
  • Light executive assistant tasks (document prep, research, admin).
  • Use AI tools (ChatGPT, Claude, Superhuman, email cleanup tools, etc.) to optimize workflows.
  • Communicate effectively and switch between multiple brand/business contexts.
Must-Have Skills & Requirements
  • Strong bookkeeping experience
  • 3 to 5 years of bookkeeping or accounting VA experience (preferably with padres multi‑entity or multi‑location businesses).
  • QuickBooks Online proficiency and XERO (daily use, reconciliations, reporting).
  • Solid understanding of GAAP principles.
  • Experience managing COGS, AP/AR, payroll allocations, and reconciliations.
  • Previous experience with U.S.-based businesses.
  • Attention to detail and ability to spot discrepancies.
  • Excel/Google Sheets proficiency (building financial trackers, formulas, pivot tables).
  • Confidentiality and reliability.
Nice-to-Have (Strongly Preferred)
  • Familiarity with multi‑location consolidations (rolling up P&L, balance sheets, cash flow).
  • Familiarity with project management/collaboration tools (Notion, Motion, Airtable, Slack).
  • Certified Bookkeeper (CB) or QuickBooks ProAdvisor certification.
  • Strong communication skills (reporting to leadership).
  • Familiarity with ecommerce accounting and monthly reporting
Dream Scenario (Huge Plus)
  • CPA designation (or in-progress), with deep knowledge of U.S. tax returns and tax code.
  • Ability to support tax preparation and collaborate with tax advisors.
  • Bachelor’s degree in Accounting, Finance, or related field.
  • Experience in financial forecasting, budgeting, and process improvement.
  • Prior experience in a fast‑paced, growing multi‑partner business
