Event Executive Reporting To: Event Lead

Role Summary

The EventExecutive supports the Event Lead in planning, coordination, and execution ofevents and venue bookings at NTU Alumni Club. The role focuses on operationalsupport, including event setup and teardown, basic AV assistance,administrative coordination, and on-site support to ensure smooth andsuccessful event operations.

The role isideal for someone who is organised, proactive, detail-oriented, and comfortablemanaging multiple events concurrently in a dynamic environment.

Key Responsibilities
  • Support the planning and execution of events, meetings, workshops, and venue bookings
  • Assist with event setup, teardown, and on-site operational support
  • Support basic AV setup and operation, including microphones, screens, and presentation equipment
  • Coordinate with vendors, caterers, and internal teams on event requirements
  • Prepare quotations, booking forms, and event-related documentation
  • Assist with client communications, confirmations, and post-event follow-ups
  • Maintain accurate event schedules, records, and administrative documentation
  • Support event registrations, attendance tracking, and basic event promotions
  • Carry out ad-hoc operational and administrative tasks as required
  • Willing to work occasional evenings or weekends for events
  • Team player with a positive and service-oriented attitude
  • Coordinate with Operations, Finance, and other internal teams on event requirements and approvals
  • Do any ad-hoc tasks assigned by RO or MC from time to time
  • The event executive will work with the event lead for budget, sponsorship, and post event evaluation.
