About Department and Purpose of the Position

The Executive Assistant will be responsible to provide administrative and operational support to the clinical Head of Department (HOD) and the Department.



Key Responsibilities

Primary Responsibilities and Duties



  • Coordinate meetings for HOD and the department – this includes booking venue, collating agenda and arranging for catering requirements (when necessary).

  • Provide administrative support for HOD and the department – this includes dissemination of information, preparing and submitting of claims and records, assisting HOD and clinicians in their travel conference logistics, onboarding for doctors, maintaining training records

  • Point of contact for asset management, IT asset and procurement matters for the department.


Secondary Responsibilities and Duties



  • Provide leave coverage for department executive

  • Perform any other duties as assigned by supervisor /Head of Department



Key Requirements


  • Minimum Diploma holder

  • Good coordination, interpersonal and communication skills.

  • Proficient in Microsoft Office Applications (Microsoft Word, Excel, PowerPoint & Outlook).

  • At least two years’ working experience, preferably in healthcare industry.

  • Pro-active, self-motivated, with a “can-do” attitude and able to work independently.

  • Ability to multi-task, work independently and work in a team.

  • Experience in clerical and administrative duties (preferably in healthcare) will be preferred.
