Job description

We are seeking a highly organised and proactive Project Operations Assistant to support our manager and team. In this role, you will handle a variety of administrative tasks, coordinate project activities and ensure all project information is organised and easily accessible.

Key Responsibilities

  • Manage all project related documentation and ensure proper filing, version control and accessibility.

  • Prepare, update and track project documents such as meeting minutes, shop drawings, material submittals, progress reports and handover files

  • Liaise with consultants, subcontractors, and internal department to ensure timely submission, approval and responses.

  • Provide operational and administrative support to manager and team, including resource allocation and scheduling.

  • Monitor project schedules, procurement status, site progress and variation records.

  • Handle professional correspondence, both written and verbal in a timely manner

Requirements

  • Minimum 3-5 years of relevant experience in the construction or fitout industry

  • Fluent in English and Chinese with strong written and verbal communication skills

  • Proficient in Microsoft Office (Word, Excel, Powerpoint and etc)

  • Meticulous, well organised and capable of multitasking under pressure

  • Ability to work independently while collaborating effectively with the team to ensure project success.

  • Familiarity with project workflows, documentation standards, and coordination procedures in fit out environments is an added advantage.
