Position Summary

The Client Relation Specialist is responsible for the management and execution of all vendor registration, pre-qualification (PQQ), and client relations activities. This role ensures that the company is successfully registered, qualified, and maintained as an approved vendor with private, government, and semi-government clients. The specialist will ensure compliance with client requirements, timely submission of documentation, proactive follow-up, and accurate maintenance of registration records to support business development and growth objectives.

Key Responsibilities
  • Manage end-to-end vendor registration and PQQ processes with clients across private, government, PIF, and semi-government sectors.
  • Document Preparation & Submission
  • Prepare, review, submit, and update PQQ documents, prequalification forms, and compliance files in line with client requirements.
  • Internal Coordination
  • Coordinate with internal departments (Finance, HR, Legal, Operations, HSE, Quality, IT) to collect and validate necessary documents.
  • Act as the primary point of contact with clients for all registration, PQQ, and vendor qualification matters.
  • Proactive Follow-Up
  • Follow up with clients to track application status, clarify requirements, and secure approvals.
  • Compliance Assurance
  • Ensure compliance with client-specific requirements, industry standards, and regulatory frameworks.
  • Record Maintenance
  • Maintain and update accurate registration records and documentation in company systems, including CRM or registration databases.
  • Workflow Improvement
  • Develop, standardize, and improve registration workflows and templates to enhance efficiency.
  • Monitoring & Reporting
  • Monitor registration validity, renewals, and expiry dates; prepare regular reports on registration status, PQQ progress, approvals, and pending actions for management review.
  • Support for Business Development
  • Support Business Development teams by ensuring readiness for targeted opportunities.
  • Training & Knowledge Sharing
  • Conduct training sessions on registration and PQQ processes and best practices.
  • Industry Awareness
  • Stay updated with changes in vendor registration requirements and market practices.
Minimum Qualifications
  • Education
  • Bachelor’s degree in Business Administration, Supply Chain Management, Management, or a related field.
  • Experience
  • Minimum 2-4 years of experience in vendor registration, PQQ management, procurement support, or client affairs (industry-dependent). Proven experience dealing with government, semi-government, and large private sector clients.
  • Strong knowledge of vendor registration, PQQ, and compliance documentation.
  • Excellent coordination and stakeholder management skills.
  • High attention to detail with strong document control capabilities.
  • Ability to manage multiple registrations simultaneously under tight deadlines.
  • Strong communication skills (written and verbal).
  • Proficiency in CRM systems, MS Office, and document management tools.
  • Problem-solving mindset with a continuous improvement approach.
  • Ability to work independently and collaboratively across functions.
