Role Summary

We are hiring a highly organized, results‑oriented, and data‑driven Referrals Project Manager to own and optimize the full lifecycle of our outbound referral cases, currently managing over 900+ active matters. This role combines project management, sales operations, collections enforcement, and dashboard reporting—all aimed at ensuring every referred case is tracked, followed up on, and monetized.

You’ll work across legal, finance, and operations to implement systems, streamline workflows, enforce referral agreements, and ensure revenue is collected. Over time, you’ll also play a role in identifying and onboarding new referral partners when needed to support firm growth and niche case coverage.

Key Responsibilities
Referral Case Lifecycle & Collections
  • Take full ownership of our referrals pipeline, including 900+ active cases.
  • Track every referred case for status updates, contract validity, and payment milestones.
  • Follow up with referral partners until collections are closed and documented.
  • Ensure timely execution and enforcement of referral agreements and payment terms.
KPI Reporting & Dashboards
  • Build and maintain referral dashboards using Looker Studio, Google Sheets, or Filevine.
  • Report weekly to leadership on:
    • % of referral fees collected
    • Aging case reports
    • Revenue pipeline projections
    • Referral partner responsiveness
  • Maintain clean data, automated reports, and visible progress tracking across systems.
Process Optimization & Systems Management
  • Document referral operations and identify gaps or inefficiencies.
  • Implement SOPs, checklists, and automations (Zapier, Apps Scripts, etc.) for follow‑ups and tracking.
  • Conduct regular audits of referral contracts, partner compliance, and fee structures.
  • Coordinate with legal, intake, and accounting to streamline workflows.
Referral Network Oversight & Expansion
  • Manage relationships with an existing network of high‑performing referral attorneys.
  • Monitor their performance, responsiveness, and outcomes over time.
  • Identify gaps in current network coverage (jurisdictions or case types).
  • Assist in researching, vetting, and onboarding new partners as needed for strategic growth.
Required Qualifications
  • 3–5+ years in project management, legal operations, sales pipeline, or collections roles.
  • Proven success managing high‑volume, deadline‑driven workflows.
  • Highly proficient with Google Suite, especially Google Sheets and Docs.
  • Confident communicator—organized, professional, and persistent in follow‑ups.
  • Strong ownership mindset—you don’t delegate accountability.
  • Bilingual (Spanish) is a strong plus.
  • Prior experience in legal services, personal injury, or referral‑based industries is a major advantage.
Preferred Qualifications
  • Lean Six Sigma (Black Belt preferred) or equivalent process improvement certification.
  • Strong experience building dashboards and KPIs using Looker Studio, SQL, or Filevine Reports.
  • Hands‑on knowledge of workflow automation tools (Zapier, Power Automate, Google Apps Script).
  • Knowledge of referral fee structures and compliance rules (especially in California or PI law).
  • Experience in auditing, bonus/KPI tracking, and operations reporting.
  • Background in business intelligence, performance ops, or data systems management.
  • Experience leading cross‑functional process improvement initiatives in high‑growth environments.
