We’re looking for a highly organized, mission-driven Membership Coordinator to support our growing national network of medical and premedical students. What You’ll Do

As a Membership Coordinator, you will work closely with the Senior Director of Operations to support AMSA’s membership lifecycle—from recruitment and onboarding to data maintenance and engagement programming. This role offers the opportunity to support thousands of members and chapter leaders. This role encompasses administrative duties, direct member engagement, and support through national and international initiatives.

Key Responsibilities:
  • Administrative duties include but not limited to: managing membership email account, phone, Olark chat assignments and various administrative duties as assigned.
  • Responsible for daily database entry to membership databases. Facilitates web-based enrollment and renewals for members and updates information on web pages as necessary; ensures membership information system is accurate and meets the needs of the department and other users. Tracks contact with members to ensure that all profiles are comprehensive and current.
  • Manages membership accounting and billing responsibilities to include but not limited to preparation of membership renewal notices and dues invoices. Prepares monthly deactivation reports for membership cancellations or dues billing amount changes and updates member records accordingly.
  • Serve as a key point of contact for AMSA members and chapters through email, phone, and chat support.
  • Maintain accurate member and chapter data using Salesforce and other AMSA systems.
  • Assist with new member onboarding, welcome communications, and gift fulfillment.
  • Support virtual and in-person events including chapter visits, town halls, and trainings.
  • Collaborate on outreach campaigns, spotlight features, and promotional content.
  • Help manage membership billing, refunds, rebate processing, and related reporting.
  • Support national award processes and member recognition programs.
  • Some travel to in person meetings or chapter visits as necessary. Supporting members and staff at in person AMSA events.
  • Leading or supporting interactive virtual sessions with chapter leadership and general membership.
  • Various administrative duties as assigned.
Requirements:
  • 1-2 years of experience in membership database management and administrative responsibilities.
  • Proficiency in MS Office Suite, GSuite, Salesforce, Slack, and SmartSheet.
  • Excellent communication skills in both written and verbal forms; ability to interact professionally with all levels of the organization.
  • Strong organizational skills, with the ability to manage multiple tasks and projects simultaneously.
  • Some travel will be necessary.
Physical Requirements:
  • Ability to move frequently and lift objects up to 50 pounds.
  • Requires extended periods of sitting during administrative tasks.
