This role is primarily focused on running our Marketing Operations engine with a smaller Executive Operations lane.
With Us, you'll manage a small operations pod (3–4 people) responsible for promos, webinars, email campaigns, and internal trainings. Own end‑to‑end execution on key operational projects, not just supporting them. Investigate and fix broken processes, events, and automations instead of escalating them. Maintain and refine systems and checklists that keep the team moving fast without chaos. Work closely with our Marketing Project Manager and senior creatives to keep operations clean and predictable. What You'll Do
Marketing Ops Execution & Pod Management
- Own operational execution end‑to‑end
- Own timelines, task lists, and follow‑through for promos, webinars, email campaigns, and related workflows
- Turn briefs into execution plans, keep documentation accurate, and prevent delivery misses
- Lead a pod: set priorities, review work, and hold the pod to deadlines and quality
- Run simple routines like check‑ins and status updates so everyone knows what's next
- Run webinars and online events: Set up events in AEvent and Zoom, manage invites and reminders, support live delivery, coordinate recordings and follow‑ups
- Own training operations: set up and QA training sessions, maintain schedules, ensure sessions run as planned, investigate and resolve issues
- Investigate and fix broken processes, events, and automations instead of escalating them
- Build and maintain clean systems: keep trackers, spreadsheets, SOPs, and internal pages accurate and usable
- Track and report key metrics: maintain simple views of delivery status, event performance, and pod output

- Executive Operations: Run daily inbox triage for the CEO; route routine messages to the right owners, flag urgent or strategic items clearly, apply a clear calendar playbook for CEO and CSO schedules, enforce meeting rules, protect focus blocks, catch conflicts early, and keep commitments locked

What We're Looking For
Core Experience
- Strong coordination experience in operations, project coordination, or similar roles
- Proven ability to deliver projects on time through structure, not heroics
- Experience managing or leading a small team
Technical Requirements
- Comfortable working with spreadsheets (Google Sheets or Excel)
- Project and task tools (ClickUp, Asana, Trello, or similar)
- Webinar and event tools (Zoom, AEvent, or equivalents)
- CRM and email platforms (HubSpot, Ongage, or similar)
- Strong systems and flows thinking, digging into tools and data, and wanting to understand what's really happening
Personality
- Comfortable giving and receiving direct, honest feedback
- Willing to raise risks early and challenge timelines when needed
- Strong finisher who closes loops
- Detail‑oriented and precise
- Systems thinker who fixes root causes
- Calm under pressure, especially during live events
Preferred Background

Compensation
$1,500 – $2,500 USD per month, based on experience. Higher compensation possible for strong HubSpot, advanced event management, or executive support experience. Fully remote, full‑time contract role. Core working hours aligned with PST/EST.
Hiring Process: What to Expect
Total time commitment is under 5 hours, with decisions typically made within a few weeks.
