Overview

Equixly is an Italian VC-backed startup on a mission to revolutionize API security by harnessing the power of artificial intelligence and machine learning algorithms. Our platform automates the API Security Testing process, enabling the identification of deep vulnerabilities in a scalable and timely manner. As we continue to grow rapidly, we are looking for an experienced Office Manager to join our team in Verona and support our dynamic operations.

Role Overview

As an Administrative Specialist & Office Manager at Equixly, you will be responsible for managing various administrative and operational tasks to ensure the smooth functioning of the office. Your duties will include overseeing accounts payable and receivable, handling HR-related tasks, preparing financial reports, and managing the general office logistics. You will collaborate with other team members to ensure the efficient running of the company.

What you will do
  • Manage accounts payable and receivable (Italy, EU, and Non-EU transactions).
  • Reconcile cash flows and assist with financial reporting.
  • Prepare financial reports and support the preparation of financial statements.
  • Oversee HR tasks, including payroll and expense reports.
  • Handle VAT liquidations and other tax-related duties.
  • Manage supplier contracts and ensure compliance with agreed terms.
  • Oversee general office management, including logistics, supplies, and contracts.
Requirements
  • At least 5 years of experience in an administrative or office management role.
  • Strong ability to optimize and automate administrative processes through software tools and systems.
  • Proficient in English (both written and spoken) – this is a mandatory requirement.
  • Familiarity with accounting software and financial processes is a plus.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Experience in managing HR and payroll processes is desirable.
