What you will be doing

Collaborate with the Administrative Manager in the following activities:

  • Manage the company car fleet of 140 vehicles, including lease contracts, invoice control, and related administration.
  • Handle company mobile phone contracts (c. 200) and coordinate hardware orders.
  • Maintain corporate office facilities, including setting up meeting rooms and ensuring smooth day-to-day operations.
  • Support equipment maintenance activities, both preventive and corrective.
  • Monitor utilities services (electricity, water, gas, telephony, etc.) at headquarters, responding promptly to emergencies or alarms.
  • Procure stationery, furniture, furnishings, and all non-core company assets in line with Group policies.
  • Coordinate contractual arrangements for assigned services and goods, managing relationships with suppliers.
  • Validate supplier invoices and prepare KPI reports to ensure accurate financial control.
  • Provide support for external tasks, such as visits to banks, car rental companies, or post offices.
  • Act as backup for the Admin & Facility Manager during periods of absence.
  • Assist with organisation and administration of events and meetings.
The ideal person

Possesses a diploma or degree, with at least three years’ experience in a similar administrative or facilities role.

  • Demonstrates knowledge of managing supply contracts, rental agreements, and leasing arrangements.
  • Applies strong skills in Microsoft Office; experience with SAP is a plus.
  • Communicates effectively in both English and Italian, verbally and in writing.
  • Holds a valid B driving licence and is comfortable travelling for occasional external tasks.
  • Collaborates effectively within a team, demonstrating a proactive and supportive attitude.
