About the Role:

By supporting the HR Manager according to our values and vision, indirectly enabling the business leaders to achieve the business objectives.

Responsibilities
  • HR Services Support:
    • Support in all elements of HR Services, including the stages New Joiners (i.e. employment agreement, probation review, getting work permits, preparing work place, announcement, etc.); During Employment (i.e. annual leave, amendments to contract, administration of personal files, answering any questions to rules & regulations, long service awards, etc.); Leavers (i.e. exit process, reference letter, etc.); Payroll; Labour relations; HRIS; employee handbook, etc.
    • Being Super User and Trainer on the use of HR related system: Workday and Recruitment tools.
    • C&B Administration support: medical claim verification and approval, being administrator on Health Insurance and DPLK/Saving Plan policy renewal and claims process between company (on behalf of empoloyee to external broker/insurer), BPJS Kesehatan and BPJS Ketenagakerjaan, overtime and meals allowance calculation, leave reconciliation and accrual calculation, jubilee administration.
    • Industrial relations: sending documents to relevant Govt bodies as needed, handling first hand employee grievance coming to HR, arranging flowers and gifts on staff special events I,e: hospitalization, wedding, condolences. Some involvement in staff events as needed.
  • HR Business Partner Support:
    • Recruitment: conducting the interview for staff level (coordination with the user), producing interview forms and test as necessary, despatch incoming applications from pool HR email to relevant Hiring Managers, checking the completion of internal process (requisition, termination), offering the candidate, corresponding with outsourcing company on non core temporary hires, routing invoices to approving managers and Finance Dept, walk around introduction of new hire and announcement.
    • Support the preparation of workshops i.e. Performance Management; communication (internal), manage the induction documentation if required support managers with the induction;
    • COMPLEXITY (the most challenging parts of the job):
    • Exposure to sensitive information like staff particulars, salary details of all levels, management decision and discretions.
    • Day to day admin can be time consuming and ad hocs that the incumbent shall stay late or working beyond office hours to resolve the issue. Example: hospitalization, condolences, data entry and trouble shooting of system troubles.
    • Managing the relationship of the touchpoints given by this position: HR BP, Managers.
Qualifications
  • Educational background in Psychology (preferred) or related fields.
  • Strong human relations skills to manage internal communication and respond to staff grievances.
  • Mature and professional personality, capable of handling senior-level interactions and sensitive information.
  • Good system and administrative skills, including proficiency in Microsoft Office.
  • Strong command of both English and the local language, essential for working in a global company.
  • Good time-management skills with the ability to prioritize tasks effectively.
  • Knowledge of local labor laws and regulations, with basic HR knowledge to support day-to-day operations.
