Job Summary

An exciting part‑time opportunity within the Therapy Services Department for a self‑motivated, enthusiastic candidate based at Kidderminster Treatment Centre.

Location and Contract

Kidderminster Treatment Centre, Block C, Kidderminster, DY11 6RJ
Fixed‑term, 12‑month contract – part‑time, 30 hours per week

Pay scheme – Band 2 (Pro‑Rota): £24,465 per annum

Responsibilities
  • Act as receptionist and administration assistant for the therapy outpatient service – greet, meet, and direct patients and visitors appropriately.
  • Maintain therapists’ appointment diaries via the PAS booking system – book appointments and manage day‑to‑day front‑desk administration.
  • Handle telephone enquiries from patients, relatives, medical practitioners, and consultants.
  • Receive and register a high volume of referrals from multiple sources.
  • Make appointments for new and existing patients, and manage DNAs and cancellations appropriately.
  • Keep new patient and follow‑up treatment slots filled as far as possible, and cancel appointments if the therapist is off sick.
  • Record monthly statistics re: waiting times for treatment, DNA rates, and clinic utilisation data.
  • Transfer patients to other hospitals as appropriate and register all patient details on the therapy record and information system.
  • Maintain an accurate filing system for patient records, including stationary, equipment, and patient information stocks.
  • Other clerical duties – data collection and entry – to facilitate the smooth running of the out‑patient department (monitor waiting lists, ensure outpatient clinics are full and running at capacity).
  • Participate in the staff development programme, receive annual appraisals, and comply with Trust policies and procedures.
Qualifications and Person Specification
  • GCSE in English or equivalent qualification at Grade C or above.
  • RSA II or equivalent qualification or experience.
  • Evidence of previous clerical experience, good typing and/or word processing, familiarity with Windows packages, and experience in manual and computerised filing systems.
  • Previous reception experience, experience of using hospital/clinical patient systems, previous NHS experience, and previous experience of arranging appointments.
  • Good telephone manner, adaptable to work well under pressure, flexible approach to working pattern and duties, good communication skills – verbal and written.
  • Ability to work in a busy environment, build and maintain a good rapport with colleagues and patients, and organise and prioritise workload.
  • Awareness of confidentiality and information governance and willingness to undertake in‑house courses.
  • Ability to undertake manual handling aspects of the role on a daily basis and travel/work across sites.
  • General understanding of physiotherapy and occupational therapy (desirable).
  • Customer Care Training (desirable).
