Job Title: Team Lead, Administration

DSV are recruiting for a Team Lead, Administration at our Stoke on Trent location. As an Administrative Team Lead, you will be responsible for managing and supporting the day-to-day activities of the administration team. You will ensure that all administrative functions, including data management, reporting, invoicing, and customer communication, are completed accurately and efficiently. This role requires strong leadership, organisational skills, and attention to detail to maintain service excellence and support operational success. You will act as the key link between the administration team, operational departments, and customers, driving performance, compliance, and continuous improvement.

Key Responsibilities
  • Team Leadership: Lead, support, and develop the administration team; manage workloads, set priorities, and ensure tasks are completed accurately and on time.
  • Customer Communication: Act as first point of contact for customer queries; ensure professional and timely responses to maintain high customer satisfaction.
  • KPI & Performance Monitoring: Track and monitor administrative KPIs; drive improvements where needed to achieve targets.
  • Data Management & Reporting: Oversee data entry, reporting, and record keeping ensuring accuracy and compliance with company standards.
  • Invoicing & Financial Support: Ensure all invoicing, purchase orders, and financial administration are completed on time and accurately.
  • Compliance & Audit Support: Maintain compliance with company policies, GDPR, and legal requirements; support internal and external audits.
  • Process Improvement: Identify inefficiencies in administrative processes and implement improvements to increase productivity and accuracy.
  • Training & Development: Provide training and ongoing support to team members; ensure skills and knowledge are kept up to date.
  • Cross-Department Collaboration: Work closely with warehouse, transport, and customer service teams to support smooth end-to-end operations.
  • Problem Solving: Proactively address and resolve issues raised by customers, suppliers, or internal teams.
  • Resource Planning: Allocate resources effectively to meet business and customer requirements, including covering absences and peak workloads.
  • Health & Safety / Wellbeing: Promote a positive workplace culture, supporting team engagement, wellbeing, and safe working practices.
