The Role

We are looking for a highly organised and proactive Studio Resource Coordinator to handle the internal production operations of our studio. This pivotal role sits at the intersection of creative, production, project management, and operations - ensuring seamless coordination and consistency in the delivery of high-quality content, on time and on budget.

You will handle the internal resourcing of a 10+ person creative team, support day-to-day requirements, and ensure smooth workflow across all projects. The role requires a strong sense of ownership, initiative, and the ability to optimise operations.

Key Responsibilities
  • Production Coordination
    Handle day-to-day coordination of production schedules, timelines, and resources.
  • Create and coordinate Statements of Work, PO’s, and monitor Slack channels.
  • Support and track updates across project management platforms (e.g. Monday.com).
  • Own and close projects on Monday.com, ensuring all documentation is correct.
  • Book travel and accommodation where required.
  • Set up project folders, budgets, and freelance system logins.
  • Track and maintain the freelancer bench.
  • Circulate weekly production email on shoots, holidays, etc.
  • Assist with location research, permits, and production logistics.
  • Account & Process Management
    Track and report on production pipeline, Statements of Work, and team workload.
  • Maintain and improve production processes and documentation.
  • Handle onboarding of new suppliers into FT payment systems (IR35 compliance, etc.).
  • Handle PO creation via Coupa and liaise with Accounts.
  • Draft freelancer term sheets and provide admin support to Producers.
  • Track internal projects and liaise with Finance on cost allocation.
  • Support implementation of new tools and systems.
  • Resource Management
    Handle internal resourcing of the production team by tracking availability and allocating support.
  • Communications
    Act as central contact point for the production team.
  • Liaise with freelance talent and vendors for onboarding and account management.
Required Skills and Experience
  • Experience in production coordination, resource management, or operations support (media, publishing, creative agency, or similar).
  • Knowledge of video and digital workflows.
  • Strong working understanding of project management tools (e.g. Monday.com).
  • Excellent organisational skills and attention to detail.
  • Familiarity with raising PO’s and working with remote Accounts teams.
  • Ability to work in a timely manner in line with individual and team priorities.
  • Clear written and verbal communication.
  • Proactive, problem-solving perspective.
  • Comfortable working both independently and collaboratively.
  • Experience in an international or matrixed organisation.
  • Experience with a content management system.
