Job description
Overview

The Trust's Central Booking Team is looking to recruit a dynamic, committed and patient‑focused individual to support delivery of a comprehensive and efficient booking service for all patients from point of referral through to outpatient appointment. The successful candidate will fulfil a vital role in supporting patient referral management, coordination of appointments, availability of diagnostics and test results, and facilitation of RTT waiting times. Excellent communication and initiative are required, whilst ensuring data quality is completed to high standards. The role will involve close working with various administrative teams and clinical divisions. Computer literacy is essential as the use of Microsoft Office and multiple hospital systems is required on a daily basis.

Key Responsibilities
  • Provide an OPD appointment service to new and existing patients of the Trust.
  • Liaise with PAs to ensure the efficient use of outpatient capacity by monitoring clinic schedules.
  • Deal with patient queries and ensure calls are routed to the appropriate person.
  • Support key functions of clinic template management.
  • Maintain high data quality and completion of information on PAS.
  • Use outpatient waiting‑list functionality on PAS.
  • Assist with recording and updating all information as required on PAS, including amendments.
  • Coordinate cover of duties across the service lines during periods of holiday and/or sickness.
  • Support other team members in providing an efficient and effective administration service to patients and consultants.
Organisational & Communication Duties
  • Provide an effective and efficient service to patients booking OPD appointments in accordance with communicated KPIs.
  • Ensure inpatient appointment details are communicated in a timely manner in accordance with communicated KPIs.
  • Maintain the confidentiality of patient information at all times.
  • Communicate with patients, relatives, GPs and external agencies in a caring, sensitive and reassuring manner.
  • Sponsor and escalations of issues to PAs, Team Leader and management as appropriate.
Training & Development
  • Attend mandatory training in accordance with Trust policy.
  • Participate in in‑house training and update skills as required.
  • Demonstrate ongoing learning and development related to the role.
Health & Safety / Risk Management
  • Adhere to Information Governance, Confidentiality and Information Security policies.
  • Follow risk management and health & safety procedures and report any incidents, accidents or hazards.
  • Implement safeguarding arrangements for children, young people and vulnerable adults.
