Overview

We\'re looking for a proactive and organised individual to support the smooth delivery of a responsive, high-quality repairs service. In this key role, you\'ll be responsible for scheduling appointments for field operatives, managing diaries to maximise efficiency, and ensuring repairs are completed with a high first-time fix rate. Working closely with the Planning and Administration Manager, you\'ll help direct resources to priority workstreams, liaise with customers and contractors, and maintain strong administrative oversight across all aspects of repairs planning. Your focus will be on delivering excellent customer service, meeting performance targets, and ensuring compliance with financial and legal standards. In addition, we are looking for candidates that have a passion to advocate on behalf of people and communities.

Responsibilities
  • Coordinate and manage repairs scheduling, ensuring appointments are efficient, timely, and focused on achieving high first-time fix rates.
  • Maintain accurate records and systems, updating job progress, follow-on works, and customer communications to support service delivery.
  • Support day-to-day, voids, and emergency repairs, working across multiple disciplines and liaising with operatives, contractors, and out-of-hours services.
  • Oversee administrative and financial processes, including purchase orders, invoice checks, rota coordination, and compliance with legal and statutory requirements.
  • Contribute to performance improvement, analysing reports, supporting training, resolving customer complaints, and implementing service enhancements.
Qualifications
  • NVQ in Administration or minimum of five GCSEs or equivalent including Maths and English at Grade C and above.
  • Strong organisational and planning skills, with the ability to manage workloads, meet deadlines, and respond effectively to changing demands.
  • Excellent communication and customer service, including handling calls, resolving issues at first contact, and engaging empathetically with tenants and colleagues.
  • High standard of administrative capability, with experience in resource planning, data handling, and working collaboratively in a busy team environment.
  • Solid knowledge of ICT systems and property maintenance, including Microsoft packages, health and safety, repair types, and prioritisation. Proactive and collaborative approach, with strong problem-solving skills and the ability to work independently while supporting team and customer needs.
  • Passion to advocate on behalf of people and communities.
