Overview
The post holder will work as a member of a team of Receptionists providing a customer oriented reception service to the public and administration service to the clinical team in a busy, fast-paced service. This includes accurately inputting and updating patient details onto hospital systems, checking national databases as part of the registration process, and liaising with patients, relatives, medical, nursing and other stakeholders professionally, courteously and efficiently.
East Lancashire Hospitals NHS Trust has a busy Emergency Department and two Urgent Care Centres & a Minor Injuries Unit. The post holder will be part of the reception team in the Emergency Department/Urgent Care, which operates 24 hours a day, seven days a week. The job is subject to DBS disclosure requirements given access to vulnerable people and information.

Responsibilities
- Navigate and streamline patient presentation to the appropriate service; create and maintain highly sensitive medical records; retrieve cards and manage the unit’s filing system.
- Ensure accurate recording of patient demographics onto Cerner and print the Record Card for Nursing Staff.
- Print wristbands during patient intake; photocopy and share patient records per guidelines; scan/email confidential records to relevant departments.
- Implement manual procedures if systems fail and report faults to IT; schedule, prepare and notify appointments for Clinics; retrieve patient records for daily Dressings and other clinics; register arriving patients on Cerner.
- Cancel and rebook appointments as needed; liaise with triage/nursing staff on patient concerns; understand medical terminology; liaise with other health professionals and hospitals for appointments.
- Complete relevant paperwork, obtain x-rays if necessary, and document accordingly; record, collate and calculate daily/weekly/monthly statistics and distribute to departments.
- Prepare patient records for solicitors; enter patient episodes onto the Datix system; manage out-of-hours crash bleep and assist with ambulance arrivals; maintain a manual patient tracking register.
- Check the national CPIS for every child up to 18 and inform nursing staff of alerts; prep and scan ECGs at discharge and retrieve notes for clinicians.
- Operate within safeguarding, confidentiality and information governance requirements; ensure appropriate handling of sensitive information.
Descriptive notes: The post holder is expected to provide cover for sickness/absence and to work flexible hours to meet service needs.
Qualifications
- GCSE Grade C or equivalent in English Language
- ECDL or experience with Microsoft Office (typically 2 years)
- NVQ Level 3 or equivalent knowledge
Desirable criteria
- Customer Service/Care; extensive clerical experience
- Preferably NHS experience or customer care background
- Good understanding of medical terminology; customer/patient care
- Ability to work as part of a team; experience using patient admin systems
- Experience tracking and tracing patients; excellent keyboard/computer skills
- Proven communication and documentation standards; ability to follow detailed procedures
- Calm under pressure; prioritise workload and meet deadlines; flexibility to cross-site work
- Awareness of diverse cultural needs and confidentiality issues; sympathetic and sensitive handling
- Knowledge of national/local A&E targets; willingness to develop knowledge and skills
- Willingness to undergo further training and provide reasonable cross-site cover
