Job description
Position Overview

The Receptionist will be the first point of contact for visitors to department. They will work as part of a busy team providing professional reception duties and comprehensive clerical support to the service, maintaining confidentiality at all times.

Key Responsibilities
  • Perform front of house duties and liaise in a professional manner with patients, colleagues, members of the public and other agencies involved in patient care as well as undertaking a wide spectrum of duties within the confines of the role.
  • Use own initiative when undertaking duties, while Administrator available for support when required.
  • Help to achieve the highest standards for patient care, reflecting the quality and standards and mission of the University Health Board, following appropriate systems, procedures, policies and processes, and plan day‑to‑day tasks and duties.
  • Communicate effectively with patients face‑to‑face or via telephone, using tact and diplomacy to relay routine information and overcome barriers to communication such as hard of hearing or learning difficulties.
  • Book Consultant‑led clinics and obtain patient notes in preparation for the clinics.
  • Maintain effective communication with all members of the multi‑disciplinary team.
  • Undertake office tasks such as photocopying, scanning, faxing when requested.
  • Use Welsh PAS (Myrddin) for the management of Consultant‑led clinics, recording attendances, DNA’s etc., and amend demographic information to ensure accuracy for future use by the wider organisation, in accordance with the Data Protection Act.
  • Conduct all medical filing immediately and routinely to ensure the availability of up‑to‑date information for future admissions/outpatient consultations within the wider organisation.
Welsh Language Skills (Desirable)

Welsh skills are desirable: This post is advertised as Welsh desirable. This doesn't mean essential; whilst the candidate doesn’t need to have skills in Welsh, we’ll consider it an advantage when short‑listing and selecting candidates. This isn’t 'fluency', just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health.
