Job Summary

An exciting opportunity has arisen to join a dynamic practice that promotes staff development and excellent patient care. We welcome applicants from primary or secondary care settings who have experience supervising a team to support the managers and doctors with the day-to-day operation of a 27,000-patient practice.

Responsibilities
  • Responsible for the day-to-day supervision of all reception staff and associated functions across 2 sites, including repeat prescribing and the clinical system, ensuring all functions are carried out in accordance with agreed procedures, protocols and timescales, and reporting to the Practice Operations Manager as necessary.
  • Assist in improving communication between Doctors/Management/Staff to better achieve organizational goals.
  • Reception duties: handle telephone requests/queries in the appropriate manner; opening/locking up of practice premises and managing security per protocols; accept repeat prescription requests; register new patients; file and refiling results and other relevant documents in patient notes; manage charges for private work and issue receipts.
  • Support in staff rota management, including cover for sickness/absence and annual leave, with a flexible approach to rota coverage.
  • Organise cover for holidays, sickness and compassionate leave; train and develop reception staff; assist with induction of new team members; manage prescription reports and logs; attend team meetings and assist with minutes; ensure compliance housekeeping logs are completed; contribute to agenda items for Team Meetings.
  • Ensure all reception/admin staff are compliant with mandatory training; provide coaching and training; conduct probationary reviews and assist with appraisals.

Job Description

Job responsibilities – Reception Duties:

  • Answer the telephone within 5 rings in a pleasant and courteous manner at all times; deal with telephone requests/queries appropriately.
  • Open/lock up premises and manage security; accept repeat prescriptions (check the prescription box for repeat requests); register new patients.
  • Photocopy insurance medicals and reports, scan and code as appropriate; file and refile patient documents; manage charges and receipts.
  • Support staff rota management and cover for sickness/absence; organise cover for holidays, sickness and compassionate leave.
  • Train and develop the reception team; assist Operations Manager with induction; maintain prescription reports and logs; attend team meetings and take minutes.
  • Ensure compliance with mandatory training and complete probationary reviews and assist with appraisals.
Person Specification

Qualifications

  • Desirable: GCSEs at grade C or equivalent (or 4-9), including English and Maths.
  • Training in administration/clerical duties at NVQ level or above (desirable).

Experience

  • Essential: Experience of working in a medical or primary care setting; experience in supervising/managing staff; experience in supporting, training or coaching; experience dealing with external organisations at all levels (e.g., solicitors, NHS organisations, DVLA); general office skills; awareness of Data Protection Act and confidentiality; attention to detail; excellent verbal and written communication skills with the ability to adjust communication style.
  • Desirable: Experience with medical coding systems (e.g., Read); understanding or experience using/updating QOF in primary care; computer literacy with GP clinical systems.
