Job description

The Project Officer is responsible for supporting the Senior Project Manager and Project Managers to enable the delivery of the project. This post will require excellent communication skills, logical thinking and problem solving. This broad role will include leading on and coordinating elements of the six aspects of a project (scope, schedule, finance, risk, quality and resources) primarily through responsibility for maintaining and presenting key documentation, engaging with key partners and stakeholders and general coordination of day-to-day project tasks.

Embedded in the Smart & Integrated Ticketing (SIT) Team, you will take a key role supporting Project Managers by organising planning and execution of projects. This will include scheduling tasks, risk and progress management, liaising with stakeholders and assisting all project governance tasks, scheduling and secretariat for project meetings, stakeholder and engagement sessions, ensuring minutes are drafted and all supporting project documentation is updated as required e.g. project dashboard, project reporting documents & Risk, Issue, Assumption & Dependency (RAID) logs.

You can be involved in multiple projects at any given time and will assist team members as required to ensure projects are being delivered as efficiently as possible. In addition, you will also be required to work with our Programme Support Officer (PSO) to ensure the wider Programme management activities are being controlled as required.

The projects you will support will be part of the Smart & Integrated Ticketing (SIT) programme which is at the forefront of emerging technologies for smart travel services in Scotland and deliver enhanced systems for national concessionary travel and public transport smart journeys, smart payment options, digital travel data and other benefits to passengers across Scotland.

We use a blend of Waterfall (Prince2) and Agile project approaches and you may be required to adapt your project support to assist Projects Managers as required, working with a wide range of internal and external stakeholders within Scottish Government and the wider transport industry in Scotland.

Responsibilities

Tasks expected of a Project Officer will vary depending on the environment they are working in and can generally be expected to:

  • Direct support for Senior, Project Managers and others in the SIT team to enable delivery a range of smart projects, which meet Transport Scotland goals and wider Government agendas
  • Work with SIT programme team to support life-cycle delivery of multi-modal, public transport smart projects (products, services or schemes) from procurement through to delivery
  • Support Project Managers and the Programme Support Officer with key project management documentation including: project initiation documents, project plans, risk and mitigation logs and on-going monitoring and evaluation
  • Assist with scheduling and managing of meetings, stakeholder engagement sessions including secretariat notes / minutes, both internal and external, in complex and demanding environments
  • Take ownership of stakeholder engagement activity to ensure they are timely, effective and efficient.
  • Support delivery to Digital Scotland Service Standards, including recording, maintenance and management of key documentation as required
  • Manage audit records and invoicing relating to projects and schemes
  • Develop, produce and manage project related communications and engagement activities, as well as support for internal and external communications as required, working with Communications leads to ensure consistency.
  • Support for ad hoc work, commensurate to the role, to support overall team delivery
  • Assigning tasks to team members and ensuring that they are completed successfully and within deadlines.
