We are seeking a highly organised and detail‑oriented People & Office Administrator with practical experience using AI tools and a strong interest in emerging generative AI technologies. You enjoy working within well‑defined processes, using checklists and systems to ensure accuracy and consistency. Joining our busy London‑based team, you will play a key role in ensuring the smooth and efficient running of the People function. In this varied and fast‑paced role, you will provide comprehensive administrative support across the People Team, including general HR administration, recruitment coordination, candidate support, and maintaining compliance with our policies and procedures. You will act as a first point of contact for employees and managers, offering initial guidance and directing queries appropriately. A core element of the role will involve using AI‑enhanced tools to streamline People processes, improve documentation, and support data accuracy – as well as contributing ideas for how generative AI can be used to improve workflow efficiency and employee experience.
Key Responsibilities
- Supporting the People Team by accurately maintaining employee records, ensuring they are up‑to‑date and stored securely within our People tools. This includes the full spectrum of HR/People administration and the complete employee lifecycle such as drafting update letters, background checks and references for new joiners and for employee departures.
- Recruitment support: assist the recruitment process by scheduling interviews, liaising with candidates, and supporting the Global Head of Talent as required.
- HR compliance: together with the team, ensure our administration is in compliance with company policies and procedures and external requirements such as local employment law, ISO 27001 and SOC 2 audits.
- Identify opportunities to embed AI and generative AI solutions into HR workflows, helping the People Team improve efficiency, enhance the employee experience, and develop new ways of working.
- Employee relations: serve as a first point of contact for employees regarding HR/People matters, address concerns, and escalations to People Team members as necessary.
- Assist with various People projects and initiatives, such as employee engagement surveys, performance‑management processes, and office‑experience programmes.
People Office Experience
- Responsible for employee experience activities within the London office, including arranging weekly office lunches, brunches and various social events.
- Handling office orders, including the weekly food shop.
- Coordinating on‑site events and meetings, including the quarterly Senior Leadership On‑site meetings.
- Supporting the Procurement (Facilities) team on an ad‑hoc basis.
- Generally helping to maintain a positive and engaging workplace atmosphere.
Guidance and training on the above will be provided to you where necessary.
