A private healthcare facility in Rotherham is seeking a dedicated administrator to provide excellent customer service at the main reception. Responsibilities include greeting patients, managing appointments, and handling enquiries over email and phone. The ideal candidate will have significant customer service and administration experience, and will work flexible hours Monday to Friday with some weekends. A NVQ Level 3 in Customer service/Business administration is preferred.
Based on our hospital's Main Reception desk you will primarily be responsible for providing a courteous service to our patients and visitors. Your main responsibility will involve meeting and greeting patients and visitors and dealing with the related admin for each patient.
This will be an interesting and varied role as you get to know consultants and all the surgeries we do at the Hospital. Tasks include dealing with enquiries via email and over the phone, typing, scanning, managing and filing clinic notes, managing patient billing, liasing with the theatre and nursing staff and any external and internal queries. The requirement to be highly organised with great Customer Service skills is a must, as you will the first person our patients meet when they arrive at the hospital!
We are looking for candidates who have previous administration experience in a healthcare environment. You will be working 7.5 hour shifts as part of a flexible rota Monday - Friday 7am to 8pm with some weekend shifts. This is a Full Time Role. We ideally would like:

Duties to include:To ensure patients are booked for consultation appointments / pre-operative assessment / Surgeryon the relevant system prior to admission.Answer initial enquiries and register patients ensuring that full Minimum Data Set is collected.Create self-pay invoices when required and support in discussing pricing options to secure thebooking.Prepare patient notes for consultation appointments and surgery.Ensure self-pay patients have paid prior to admissions.Maintain good working relationships with consultants.Ensure compliance with all relevant mandatory training within the specified timescales, andundertake any specific role related training.Comply with and complete audit requirements including escalation of non-compliance toappropriate managers.Commitment to ensuring quality services are delivered to both internal & external stakeholdersthrough continuous improvement activitiesCompliance with Kinvara Policies and Procedures relevant to this role, ensuring you are fully awareof your responsibilities within these policiesTo be aware of your responsibilities in relation to safeguarding children and vulnerable adults. Toensure you are aware of your responsibilities, supporting policies and undertake the appropriatelevel of training for your role.Maintain knowledge of Health and Safety at Work Act. Ensuring appropriate measures are taken inrespect of Health and Safety for patients, relatives, visitors, hospital staff and contractors.Ensure that all enquiries are dealt with quickly and efficiently (within 24 hours).Follow up all enquiries in a timely and professional way to ensure efficient outcome.Assist with the clinic preparation of patient notes, creating new patient files as and when required.Create Outpatient bookings on system for all payors types, reschedule, cancellations and follow upappointments when required ensuring Minimum Data Set are captured.Update the PMS when patients attend appointments or are admitted ensuring that minimum dataset is captured and the terms and conditions are agreed by patient.Collection of patient payments when required (sundry accounts, self-pay patients, shortfalls andprevious outstanding debt).Book follow-up appointments on the PMS system where required.Reschedule appointments within the theatre diary and contact the patients electronically.Process surgery booking forms and prepare Theatre ensuring information from booking forms areaccurately recorded.Follow up all enquiries in a timely and professional way to ensure efficient outcome.Have full knowledge of the layout of the hospital, all departments and senior personnel to enablecorrect directing of visitors, contractors etc.ConfidentialityTo safeguard at all times confidentiality of information relating to patients and staff and have a soundunderstanding of the Confidentiality Act 1998 and be familiar with the NHS Confidentiality guidelines.ComplaintsTo help in the management of complaints and ensure documentation is up to date.
