Job description
Overview

PA/Medical Secretary in the Oncology Department within the Networked Services Division. This is a part-time, permanent post working 30 hours per week Monday to Friday, with the option of hybrid working. The Trust supports flexible working arrangements.

You will provide full secretarial and administrative support within the Medical Oncology Sarcoma and TYA teams, ensuring a high standard of PA/secretarial duties, meeting deadlines and audio typing targets. The ideal candidate will be enthusiastic, flexible, willing to learn, able to work with initiative, and capable of contributing effectively in a busy team environment. Experience of audio typing and copy typing is required; healthcare environment experience and medical terminology knowledge are highly desirable. Knowledge of cancer pathways/targets would be beneficial.

Responsibilities
  • Liaise with consultants to provide a full secretarial service, manage mail by priority, and act on matters that can be dealt with without further reference.
  • Disseminate a variety of confidential correspondence/documentation.
  • Type clinical correspondence, treatment summaries and annotations, ensuring turnaround targets are met and instructions followed.
  • Organise and schedule meetings, maintain an up-to-date diary for appointments, meetings and interviews.
  • Monitor clinic templates with clinical team and administration staff to ensure clinic numbers are manageable; escalate to management when appropriate.
  • Respond to internal and external inquiries (written and verbal); take action on matters that can be dealt with without further reference.
  • Answer patient/relative enquiries and refer to consultants only when necessary.
