What your day will look like

Mission

The Office Assistant (f/m/d) plays a crucial role in ensuring the smooth and efficient operation of our office. This position is responsible for managing daily office activities, coordinating Office Events and meetings, overseeing reception duties, handling incoming post, and maintaining office supplies. Additionally, the Office Assistant ensures compliance with Health and Safety regulations, creating a safe and productive working environment.

  • Manage daily office operations and ensure an efficient working environment
  • Coordinate appointments and meetings, including preparing meeting rooms
  • Manage office supplies and orders
  • Assist with personnel management, including onboarding new employees
  • Handle incoming calls and emails, and direct them to the appropriate departments
  • Organise and execute local company events, celebrations and workshops including room occupancy
  • Manage reception duties, including greeting visitors and handling incoming post
  • Communication with the property management regarding upcoming repairs or conversions within the office space
  • Oversee Health and Safety management locally, ensuring compliance with regulations and maintaining a safe working environment for our employees
What you need to fulfill the role

Experience (technical / leadership)

  • Completed commercial training or equivalent qualification
  • Minimum 5 years of experience in a similar position as Office Assistant.

Functional expertise or method expertise

  • Excellent organisational skills and high attention to detail
  • Outstanding communication skills in English
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently and as part of a team
  • Friendly and professional demeanour
