We are looking to appoint a receptionist to join our busy GP practicewho will be the first point of contact for patients, contractors, and visitorsas well as carrying out general admin tasks.

You will be responsible for the general reception duties within thePractice and work with our established processes, policies and procedures toprovide a comprehensive high quality service and deal efficiently andcourteously with patient enquiries.

You will receive, assist and direct patients in accessing theappropriate service or healthcare professional in a courteous, efficient andeffective way.

You will provide general assistance to the practice team and project apositive and friendly image to patients and other visitors, either in person orvia the telephone.

You will have excellent communication skills, a compassionate andfriendly nature who can operate in a busy environment with a range of peopleand professions, as you will be workingour clinical and administration teams.

This role is ideal for someone who is highly organised and an effectivecommunicator who can provide a professional and warm welcome to our patients,ensuring every contact is of the highest quality.

You should have a good understanding of IT, be a goodteam player and have a flexible approach to work. Experience in General Practice is not essential asfull training will be given.

Job responsibilities

Your regular duties in this role will be dealing with telephone, face to face and electronic enquiries, booking and/or amending patient appointments and home visits, contacting patients to provide information from the clinical team and assisting patients to access our services and those available in the wider community.

The duties and responsibilities to be undertaken by members of the Practice reception team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Reception Supervisors/Practice Manager, dependent on current and evolving Practice workload and staffing levels:

Job Responsibilities:

Reception
  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice
  • Keep the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
  • Deal with all general enquiries, explain procedures and make new and follow-up appointments.
  • Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
  • Register new patients, temporary residents and any requiring immediate and necessary treatment, carefully checking all details for accuracy and enter on computer system
  • Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
  • Advise patients of relevant charges for private (non NHS) services, accept payment and issue receipts for same.
Appointments
  • Maintaining and monitoring the Practice appointments system
  • Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
  • Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
  • Enter requests for home visits, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
General Administration
  • Having a thorough knowledge of all Practice procedures.
  • Working in accordance of written protocols and procedures laid out in the Staff Handbook.
  • Opening up/locking up of practice premises and maintaining security in accordance with practice protocols
  • Processing and distributing incoming emails
  • Filing and retrieving paperwork
  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
  • Providing clerical assistance to practice staff as required, including filing, photocopying, and scanning
  • Keeping the reception area, notice boards, leaflet etc. tidy and presentable
  • Cover sickness/annual leave and work reasonable overtime when required, including some weekends.
  • Perform any other relevant and reasonable duties that may be requested by the reception supervisors, practice manager or partners.
  • Undertake statutory and mandatory training as required.
Person Specification
  • -Numerate, and IT literate including use of Word and Excel at least at basic level.
  • -Good organisational skills.
  • -Experience of dealing with members of the public.
  • -Ability to understand and learn new software and administrative procedures.
  • -Experience of complex administration in an office environment.
  • -Familiar with Emailing and the internet
  • -Ability to work ideal hours as stated
  • -Experience in using EMIS clinical software.
  • -Evidence of job stability
