Job Overview

An opportunity has arisen in the Adult Medicine (MCEC) Directorate of Darent Valley Hospital for a part time Medical Administrator.


The post holder will be expected to ensure a comprehensive effective administrative and secretarial service to all consultants, specialist nurses, medical staff and their team within the clinical unit to allow the smooth and efficient performance of the service.


Key Responsibilities


  • Provide a full and efficient secretarial service to the consultant team.

  • Work in close co-operation with staff, patients and other health professionals to ensure a high quality service.

  • Be an active and supportive member of the department’s administrative and clerical team.

  • Produce correspondence and draft correspondence, reports and letters. Create, manage and update documents and electronic filing system for the medical team.

  • Printing, photocopying, scanning and filing of paper documents following all necessary IG principles.

  • Update and maintain consultants’ holiday and absence records.

  • Ensure email communication is effective and discreet between patients and that patients are booked in via telephone in a prompt and professional manner.

  • Excellent interpersonal and communication skills are essential to effectively and sensitively communicate with a wide range of people including clients, colleagues, sub-contractors and external agencies.

  • Organise meetings and diary management.

  • Display excellent IT skills and prior experience in an office setting.

  • Appropriately communicate confidentiality and comply with regulations.

  • Commit to the Trust values and work autonomously.


Qualifications & Experience


  • Previous secretarial experience only, ideally within an NHS environment.

  • Excellent audio typing skills and knowledge of basic medical terminology.

  • Ability to organise workload and cope under pressure.

  • Excellent communication and interpersonal skills.

  • Confidence in working autonomously.
