Job description

As Operations Manager you will be responsible for maintaining a safe, efficient and well‑organised operating environment for all EMEAI employees, including those based at our two London offices as well as remote working employees across the region in India, Africa, Germany, the UAE, France and Israel. This position reports to the EVP Operations (US based) and will work closely with the EMEAI senior leadership to ensure all workplace business needs are appropriately met across the region. The ideal candidate will be efficient, well‑organised, a strong communicator, a team‑player and able to multi‑task and thrive in a fast‑paced environment.

Facilities Management
  • Cultivate a close relationship with the landlord, building manager and managing agent to resolve problems quickly and efficiently with minimal disruption to business operations.
  • Manage office‑related vendors and identify areas to improve cost efficiencies.
  • Maintain the Travel Agency relationship and assist in securing negotiated hotel rates across the region.
  • Manage the Health & Safety requirements for the office and liaise with third‑party H&S providers to ensure all policies and fire regulations are met.
  • Assume a lead role in managing office emergencies, including evenings and weekends.
Workplace Management
  • Ensure floorspace and seating plans are effectively managed and, together with People & Culture, optimise the office seating layout.
  • Maintain meeting‑room diaries in Outlook and Appspace and provide support to organise/run meetings and events as requested by leadership.
  • Take ownership of the appearance of all common areas and proactively identify future maintenance or design needs.
  • Oversee and maintain office equipment for uninterrupted function.
  • Identify and fulfil office supply needs in relation to stationery, equipment, snacks, drinks and other office requirements.
  • Manage the EMEAI Operations budget, ensuring accurate tracking of spend and timely payment of vendors.
  • Develop office policies and procedures, ensuring they are implemented properly, especially for international remote workers.
  • Manage office access and security in collaboration with the building reception team, ensuring visitor pass management.
  • Maintain strong cross‑functional relationships with IT, Finance and People & Culture, acting as the main point of contact for all workplace matters.
  • Reconcile the office credit card on a monthly basis.
  • Introduce new ideas and improvements to elevate the workplace experience, such as maximising space resources and technology.
  • Ensure remote employees are well supported and have clear guidelines for accessing resources, workspaces and equipment.
Employee Support
  • Provide ongoing support to staff throughout the workday, ensuring a comfortable environment to perform their best.
  • Work with People & Culture to support in‑office events that enhance employee engagement.
  • Facilitate new starters on their first day, ensuring they have the necessary information, equipment and supplies.
  • Collaborate with other internal departments to support in‑office events.
  • Provide clear communication to employees regarding upcoming matters, such as building works or equipment malfunctions.
  • Manage corporate travel booking for all employees, coordinating flights and accommodation with external agents.
  • Provide training to employees on booking travel through the agency and using Appspace for meetings.
  • Partner with People & Culture and Operations teams in New York to ensure proper communication and escalation.
