Job Title:Fleet Administrator

Location: Fleet Financial, Belfast

Permanent Full Time: Monday to Friday 09.00 am to 17.15 pm (Early finish on a Friday)

Salary: Up to £26,250 basic DOE

Job Summary:

Fleet Financial Ltd, a well-established leasing company, is looking for a proactive and detail-oriented Fleet Administrator to assist in managing and supporting the operations of our fleet. This position offers the opportunity to work alongside the Fleet Manager and other team members to help ensure that vehicles are well-maintained, cost-effective, and compliant with lease terms. The Fleet Administrator will gain hands-on experience in fleet operations, vehicle management, and administrative support, contributing to the overall efficiency of the fleet department.

Key Responsibilities:

Vehicle Documentation & Record Keeping:

  • Maintain accurate and up-to-date records of vehicles, including registration, tax classification, and maintenance details.
  • Assist with tracking vehicle warranties, service history, and compliance with safety regulations.
  • Assist in preparing reports on fleet performance, maintenance status, and other key metrics.

Compliance:

  • Ensure all fleet activities comply with legal regulations and company policies. Monitor and manage vehicles MOTs and tax renewals.

Supplier Interaction:

  • Support communication with external vendors and service providers for vehicle servicing, maintenance, and repairs.
  • Help manage the scheduling of vehicle deliveries and returns with vendors.

General Administrative Support:

  • Provide administrative support for the fleet management team, including filing, data entry, and updating fleet records in our management software.
  • Assist with general office duties related to fleet operations, as needed.

Qualifications:

  • Proven experience in fleet administration or a related administrative role.
  • Strong organisational skills with attention to detail.
  • Excellent interpersonal verbal communication skills with the ability to communicate effectively and with confidence with both customers and multiple stakeholders
  • A passion for administration and highly computer literate with experience and proficiency with standard Microsoft tools and applications.
  • Strong organisation, time management and planning skills and good attention to detail.
  • Co-operative, enthusiastic and supportive team player.
  • The ability to work effectively, be self-motivated and committed to exceeding our customers’ expectations
  • Ability to multitask and prioritise workload effectively.

Desirable:

  • Familiarity with the automotive leasing industry.
  • Experience with fleet management software
  • Knowledge of vehicle maintenance and legal requirements related to fleet operations
  • Experience working within a customer-focused environment.
