Overview
Finance and Compliance Administrator responsibilities include processing and reconciling financial transactions, maintaining accurate records, supporting compliance across the organisation, and assisting with financial reporting and audits.
Responsibilities
- Process invoices, payments, and staff expenses in line with internal procedures.
- Reconcile bank transactions and maintain accurate financial records, including VAT documentation.
- Assist with the preparation of monthly management accounts, financial reporting, and budget monitoring.
- Support payroll processing and pension submissions.
- Maintain up-to-date records for suppliers, clients, and contractors.
- Liaise with external partners such as accountants and auditors as required.
- Maintain and regularly update compliance documentation, including safeguarding, safer recruitment, GDPR, and health & safety records.
- Track and manage contract start and end dates across all service packages, ensuring timely renewals, extensions, and actions on expiries.
- Support the management of the Single Central Record (SCR), ensuring all tutor and staff compliance checks (DBS, references, right-to-work) are complete and current.
- Assist with reviewing and updating policies and procedures in line with statutory requirements (e.g., KCSIE, Ofsted, GDPR).
- Monitor mandatory training compliance, tracking completion dates and flagging upcoming renewals.
- Uphold data protection standards by handling sensitive and confidential information in accordance with GDPR.
- Assist the Directors and Operations team in preparing compliance reports and supporting internal and external audits.

Qualifications
- Proven administrative experience, ideally within finance or compliance settings.
- Familiarity with finance systems such as Xero, Sage, or QuickBooks.
- Exceptional attention to detail with strong organisational and record-keeping abilities.
- Confident using Microsoft Office (Excel, Word, Outlook), with a willingness to learn finance or compliance software.
- Ability to handle sensitive and confidential information with discretion and professionalism.
- Clear and effective communication skills, both written and verbal.
- Comfortable working independently and collaboratively as part of a team.
- Proactive mindset with strong problem-solving skills and a drive for process improvement.
- Desirable (but not essential): Experience working in education, safeguarding, or alternative provision environments.
- Understanding of safer recruitment practices, GDPR, or broader compliance frameworks.
