Overview

Davisons Law is a leading law firm with a strong presence in Residential Property, Commercial, Litigation, Family and Private Client Law.

As the Facilities Manager, you will oversee the effective management, maintenance, and compliance of all office environments within the firm. This role ensures that the solicitors practice operates safely, efficiently, and in alignment with regulatory, environmental, and professional standards. The Facilities Manager will also lead the firm’s annual Streamlined Energy & Carbon Reporting (SECR) process, ensuring accurate data collection, analysis, and reporting of energy usage and carbon emissions.

Key Responsibilities
Facilities Management
  • Manage day-to-day facilities operations across all offices, ensuring a safe, secure, and well-maintained working environment.
  • Oversee building maintenance, cleaning contracts, utilities, security systems, fire safety equipment, and office services.
  • Develop and maintain a planned preventative maintenance (PPM) schedule.
  • Coordinate office moves, refurbishments, and space planning initiatives.
  • Act as main point of contact with landlords, contractors, and service providers.
  • Ensure compliance with health & safety legislation, including risk assessments, fire safety, and incident reporting.
  • Management of firm’s stationary ordering facility.
  • Ensuring all staff are set up on relevant platforms when joining.
Health, Safety & Compliance
  • Conduct regular H&S audits, inspections, and compliance checks.
  • Update and maintain relevant policies and procedures (e.g., H&S, environmental, security).
  • Ensure compliance with SRA / Legal Practice obligations where relevant to facilities operations.
  • Keep accurate statutory records (asbestos register, fire safety logbooks, emergency lighting checks, etc.).
Environmental & Sustainability Management
  • Lead the firm's SECR reporting process, including collecting energy usage, fuel consumption, and travel data.
  • Liaise with finance and external consultants for data validation.
  • Calculating emissions in accordance with SECR requirements.
  • Drafting and submitting the SECR report for inclusion in annual financial statements.
  • Identifying opportunities for carbon reduction and energy efficiency improvements.
  • Develop and implement environmental initiatives aligned with the firm’s sustainability objectives.
  • Monitor and evaluate environmental performance metrics across sites.
Supplier & Contract Management
  • Manage supplier relationships, ensuring best value, contract compliance, and service quality.
  • Negotiate new agreements and renewals for utilities, maintenance contracts, cleaning, waste management, and security.
  • Maintain accurate records of contracts, SLAs, and performance metrics.
Budgeting & Financial Control
  • Manage the facilities budget, ensuring cost-effective procurement and operational efficiency.
  • Monitor expenditures related to repairs, maintenance, and energy consumption.
  • Contribute to capital expenditure planning for facilities improvements.
Business Continuity & Risk Management
  • Support the firm’s Business Continuity Plan (BCP) with facilities-related contingencies.
  • Manage office security protocols, physical access, and emergency preparedness.
  • Lead on incidents involving property damage, system failures, or safety concerns.
Skills & Experience Required
Essential
  • Proven experience in facilities management, preferably within a professional services or legal environment.
  • Strong understanding of SECR reporting requirements, carbon measurement, and environmental compliance.
  • Knowledge of UK health & safety legislation and best practice.
  • Excellent organisational, communication, and negotiation skills.
  • Experience managing contractors and multi-site operations. Strong analytical skills and ability to interpret facilities and environmental performance data.
  • Ability to work independently and manage multiple projects simultaneously.
Desirable
  • IOSH or NEBOSH qualification.
  • Experience in sustainability or environmental management.
  • Familiarity with SRA compliance requirements related to premises.
  • Budget management experience within a multi-office firm.
