Job description

We are seeking an exceptional Executive Assistant to support the Founders - at the heart of the HULCAN Group.

This is a pivotal, fast-paced role that requires discretion, strategic awareness, and an ability to anticipate needs before they arise. The successful candidate will serve as an essential partner to two visionary leaders, ensuring seamless coordination across a dynamic portfolio of brands and global stakeholders.

You will act as a connector, organiser, and problem-solver - enabling the founders to focus on creative leadership and strategic growth while you manage the details, logistics, and rhythm of their professional lives.

Key Responsibilities
Executive Support
  • Manage complex, ever-changing calendars and priorities for both founders across multiple time zones and brands
  • Handle inbox and correspondence management with efficiency, judgment, and impeccable tone
  • Draft, proofread, and prepare internal documents, reports, and communications
  • Support financial administration including expenses, invoices, and purchase orders
Meeting & Coordination
  • Schedule, prepare, and facilitate executive meetings with internal teams, brand leaders, investors, and external partners
  • Prepare briefing materials, agendas, and post-meeting follow-ups to ensure momentum on key initiatives
  • Anticipate needs and ensure the founders are always prepared and informed
Travel & Logistics
  • Organise complex international and domestic travel itineraries including fashion weeks, supplier visits, store openings, and leadership offsites
  • Ensure end-to-end coordination: flights, visas, hotels, ground transport, and meeting prep
  • Process expenses and reconcile costs with precision and timeliness
Project & Operational Support
  • Support on key cross-brand and strategic projects, liaising with senior stakeholders to track actions and deliverables
  • Assist with presentations, reports, and materials for internal and external audiences
  • Ensure effective prioritisation between creative and commercial objectives
Stakeholder Management
  • Serve as the first point of contact between the founders and senior internal/external stakeholders
  • Build trusted relationships across all levels of the business — from creative teams to investors and brand partners
  • Represent the founders with professionalism, warmth, and discretion at all times
Confidentiality & Discretion
  • Handle highly sensitive information with the utmost professionalism
  • Act as a trusted gatekeeper and sounding board to both founders
Ad-hoc & Special Projects
  • Provide support on special initiatives - from leadership offsites to major brand events and product launches
  • Be flexible and proactive in adapting to evolving priorities across multiple business units
About You
  • Proven experience supporting senior executives or founders in a high-growth or creative business (fashion, luxury, or retail strongly preferred)
  • Exceptional organisational and prioritisation skills - able to pivot quickly and remain composed under pressure
  • Excellent written and verbal communication, with a polished and professional tone
  • Strong business intuition and awareness of brand, aesthetic, and commercial priorities
  • High emotional intelligence and the ability to build trusted relationships at all levels
  • Discreet, reliable, and comfortable handling confidential information
  • Confident working independently with minimal guidance
  • Highly tech-savvy and fluent with productivity tools (Google Workspace, Microsoft Office, Slack, Shopify etc.)

Experience in a dynamic, entrepreneurial environment is a plus
