The Executive Assistant provides high-level administrative and operational support to two executive-level leaders and their respective teams. This role requires exceptional organisational skills, discretion, and the ability to anticipate needs in a fast-paced, dynamic environment. The Executive Assistant acts as a trusted partner, helping leaders stay focused on strategic priorities while ensuring day-to-day operations run smoothly, both within their respective teams and across the other teams and businesses across the Group.,
Responsibilities
- Manage complex calendars for two executives, including scheduling meetings, prioritizing requests, and resolving conflicts
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, and expense tracking
- Prepare executives for meetings by compiling agendas, briefing materials, presentations, and follow-up notes
- Serve as a key point of contact between executives and internal/external stakeholders
- Handle confidential and sensitive information with the highest level of discretion
Team & Operational Support
- Provide administrative support to the executives' teams, including meeting coordination, onboarding support, and team communications
- Organize and support team meetings, offsites, and events (logistics, materials, action items)
- Track action items, deadlines, and deliverables across leadership priorities
- Support budget tracking, expense reporting, and purchase requests as needed
Process Improvement & Special Projects
- Identify opportunities to improve workflows, processes, and administrative efficiency
- Support special projects and strategic initiatives as assigned
Qualifications
- Several years of experience as an Executive Assistant or in a similar senior administrative role, preferably supporting executive-level leaders
- Proven experience managing multiple leaders and competing priorities simultaneously
- Strong proficiency with productivity tools (e.g., Google Workspace or Microsoft Office, calendar and expense systems)
- Excellent written and verbal communication skills
- High level of professionalism, integrity, and emotional intelligence
