How you will make an impact:
- Develop and maintain document control processes and systems, ensuring the proper organisation, storage, accessibility, and retrieval of project documentation
- Review, validate, and process all incoming and outgoing documents, ensuring accuracy, completeness, and compliance with project standards, contractual requirements, and regulatory guidelines
- Coordinate with project managers, engineers, and multidisciplinary team members to ensure the timely and accurate distribution of project documents and critical information
- Monitor document workflows and approval processes, identifying inefficiencies and implementing improvements to enhance accuracy and operational effectiveness
- Train and support project personnel in the use of document control processes, procedures, and document management software tools
- Ensure compliance with data protection laws, confidentiality obligations, and corporate information-security policies
- Liaise with external stakeholders, contractors, suppliers, and service partners to coordinate documentation requirements related to procurement, contracts, and framework agreements
- Produce regular project reporting on the status of deliverables, document packages, and documentation workflows; analyse metadata to provide look-ahead schedules, early-warning indicators, and late deliverable reports to senior management
- Apply advanced Excel skills to manipulate, compare, and analyse raw data exported from various internal and external sources, supporting accurate reporting and decision-making
Requirements:
- Proven experience as a Document Controller, ideally within the renewable energy sector or in large‑scale infrastructure project environments
- Demonstrated experience using enterprise Document Management Systems (DMS) such as SharePoint, Aconex, Documentum, Procore, or comparable platforms
- Degree in Business Administration, Information Management, Records Management, or equivalent professional experience (desirable but not always essential depending on experience)
- Strong knowledge of document control methodologies, lifecycle management, and document management software tools
- Exceptional attention to detail, organisational skills, and the ability to manage multiple tasks and deadlines simultaneously
- Strong communication and interpersonal skills, with the ability to collaborate effectively across diverse teams and work independently when required
- Familiarity with relevant industry standards, quality requirements, and regulatory frameworks related to document management, information governance, and data protection
