A renowned staffing company is seeking a candidate to support Contract Management activities on large-scale projects. This role involves preparing and organizing reports, managing project files, and maintaining communication with project staff and clients. Principal Job Duties & Responsibilities
  • Provide support to Contract Management activities on large-scale projects; duties may include assisting multiple Contract Administrators and Contract Managers with the preparation and execution of pre-award and post-award activity
  • Prepare, maintain, retrieve, and communicate records, reports, or documents that may be required to meet corporate and Contract Management requirements
  • Prepare and maintain all electronic and hard copy files in accordance with Fluor's Practices required to meet corporate and Contract Management requirements
  • Set up project files in accordance with Fluor practices
  • Assist in the preparation and assembly of Request for Proposals and Contracts
  • Establish and maintain communications with client representatives and project staff through meetings, telephone and web conferences, and reports to provide for client satisfaction
  • Participate in the pre-qualification process of subcontractors; support Contracts Administrators in the pre-qualification process of subcontractors; issue a pre-qualification questionnaire to bidders/contractors, collect and consolidate the data

  • Assist in the preparation and assembly of Request For Proposals and Contracts
  • Arrange and schedule meetings and prepare meeting minutes for project distribution
  • Prepare, organize, and process monthly reports
  • Perform contract document distribution and control for reviews over key contract documents
  • Audit invoices for mathematical errors, rate overages, and accurate time sheet charges
  • Perform Contract Close Out with the assistance of project team and Contract Administrators
  • Retain required contract documents for records retention; complete documented retention requirements
  • Establish correspondence log, support Contracts Administrator by assigning letter/numbers, maintaining correspondence file, and tracking all subcontractor correspondence via correspondence log
  • Establish Routing log for the project, track Contracts documents routing
  • Draft Contract documents Transmittal Letters
  • Prepare project specific contract documents for special projects or presentations
  • Maintain compliance with all applicable policies, procedures, and global standards
  • Plan, organize, and carry out assignments as directed
