Temporary Conference Planner – Global Research and Advisory Firm

Ongoing to start ASAP

Remote with 1 day a week in the Surrey Office (Near Heathrow)

8:30 – 5:00 pm

£15 – £19 per hour + holiday pay DOE

A fantastic opportunity has arisen for a confident, organised, and people-focused Conference Planner to join a prestigious global business information and advisory firm. This ongoing temp role involves supporting the smooth planning and execution of expert-led conferences at high-profile conferences, both in person and virtually.

Working as part of a collaborative and fast-paced events team, you’ll play a key role in ensuring a first-class experience for attendees and internal stakeholders alike.

Responsibilities
  • Coordinate One-on-One expert meetings across multiple conferences
  • Set up and manage the online scheduling platform for each event
  • Ensure expert calendars are efficiently managed and capacity is optimised
  • Handle meeting requests, schedule changes, and attendee support via email and live chat
  • Liaise with internal teams (research, content, operations) to ensure seamless logistics and alignment
  • Travel to conferences to manage on-site scheduling desks and attendee check-ins
  • Monitor and support virtual meeting days, acting as first-line support for attendees and experts
  • Manage mailboxes and respond to internal/external queries promptly and professionally
  • Conduct post-event analysis and reporting to support continuous improvement
Qualifications
  • Experienced in coordinating conferences and events, ideally in a fast-paced corporate setting
  • Excellent communicator with strong written and verbal skills
  • Proactive, calm under pressure, and highly detail-oriented
  • Able to multitask and prioritise effectively with a high sense of urgency
  • Confident using Microsoft Office, especially Excel; experience with scheduling systems a plus
  • Client-focused and solutions-driven, with a team-player attitude
  • Flexible and happy to travel to UK-based events (around 10–15%)
