To provide prompt and professional administrative support to the Maternity Community Hubs, in line with office procedures, contributing to the overall efficient and effective clerical duties supporting the Community Midwifery Hubs.

To provide an essential support service to the efficient running of the Community Hub. The post holder must have the ability to work as part of a team as well as being able to work on own initiative. The post holder must have computer skills, be able to communicate effectively and work well under pressure. The highest standard of data quality input is required at all times.

To liaise with and offer support to the Community Midwives, Midwifery Leads, to ensure all tasks are carried out in a prompt and efficient manner, within the given timeframe, with patient care at the forefront.

A willingness to support Community Midwives within the Department is essential as there will be the need to support different areas within the Community Hub during busy periods, as and when required.

Community Hub locations where this role will be based at:

Stotfold Children's Centre - Rook Tree Lane, Stotfold, Hitchin SG5 4DL

Queens Park Family Hub - Marlborough Road, Bedford MK40 4LE

Pine Cones Family Hub - Slade Walk, Bedford MK41 7SA

The post holder will be expected to travel to / be based at one or more of the Community Hub locations.

Main duties of the job
  • Meet and greet patients
  • Register patients onto IPM/CMIS system ensuring all data is accurate at all times
  • Liaise with Community Midwives, Midwives and other agencies to maintain data quality of referrals entered onto IPM
  • Book new appointments in accordance with Community Midwives decision. This may include contacting patients by telephone if short notice booking or rescheduling
  • Book follow up appointments from clinic, as per gestational/clinical need
  • Deal with patient queries in regards to new and follow up appointments
  • Work in a team where there will be little or no supervision at times
  • To operate multiple computer systems, for example, CMIS, ICE, iPM and Mediviewer
  • Inputting patient details and accurate medical information onto the systems
  • Updating patient details on all systems as and when required
  • Answer telephone calls and take messages to give to Midwives

Job responsibilities

To cross cover sickness and annual leave in neighbouring Community Hubs when required. Be responsive and helpful at all times to support the smooth running of the service. Have an excellent telephone manner to ensure clear and concise information is exchanged to patients and staff. To undertake any additional ad hoc duties as required.
