We are actively seeking a Communications Project Coordinator to join our team. In this role you will be responsible for coordinating the planning, media placement, and production of all external communications projects, ensuring that project schedules, budgets and resources are aligned to meet delivery deadlines.
Position Overview
As part of the Communications Team, the successful candidate will orchestrate external communications projects, ensuring appropriate resources and timelines are available and observed.
Responsibilities
- Coordinate the development, production, and distribution of corporate and marketing communications.
- Receive and review requests from the Communications Project Manager or delegate.
- Support the development of communication plans and suggest appropriate media and advertising strategies.
- Act as project leader for communication projects, developing and facilitating project plans and schedules to ensure timely delivery.
- Ensure project schedules are aligned with available resources and optimize internal resource use.
- Brief project team on goals and objectives.
- Coordinate reviews, draft copy, and proofs from creative, and route them for approval.
- In liaison with media placement agencies, advertising agencies or creative/design studios, implement media plans, set schedules, and provide budget allocations.
- Coordinate approvals of media buy recommendations, placements, and advertisement schedules and details.
- Ensure creative assets are supplied and sent to the agency in a timely manner.
- Check advertising schedules against the overall project budget.
- Source interviews, negotiate with suppliers and production vendors, analyse quotations to provide cost estimates, assess work, and decide on supplier selection.
- Generate purchase requisitions to ensure proper job specifications and reconcile invoices against quotations.
- Monitor project progress, identify risks, barriers, and constraints, and work collaboratively to devise solutions.
- Document project phases and create summary reports for company management.
- Track and monitor project budgets, manage production docket system and library of all production materials.
- Coordinate proofreading of materials and inspection of pre-press artwork.
- Arrange for FortisBC representatives to attend press checks as required.
- Ensure finished advertising materials are sent to clients, suppliers, publications, or other destinations.
- Perform related duties of a minor nature that do not affect the job rating.
Requirements
- Completion of a recognised diploma in Business Administration, Communications, or a related field from an accredited post-secondary institution.
- Minimum of three (3) years of directly related and recent experience, including project management.
- Deep knowledge of print production procedures, including pre-press, printing technology, digital and social media.
- Strong understanding of communications media (collateral, web, advertising, print, radio, TV, online) to meet client objectives.
- Ability to assess and evaluate supplier work and evaluate estimates for accuracy.
- Strong communications planning, project management, budgeting, and time-management skills, with the ability to work effectively under tight deadlines and minimal supervision.
- Knowledge of written and digital project management tools.
- Excellent verbal and written communication and proofreading skills.
- Proficiency with Adobe Photoshop, Illustrator, InDesign and the MS Office suite.
