Job Summary

To provide a comprehensive secretarial and administration service to the Arrhythmia Care Co-ordinators in an efficient and timely manner. This post is part of a professional multi-skilled team working across the clinical and administration services.

***Preference will be given to internal Trust staff, as well as ‘Priority’ and ‘At Risk’ status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.***

Job Description
  1. Following the introduction of digital dictation technology to take responsibility for clinic admin preparation and distribution in a timely and effective manner.
  2. Responsible for the full secretarial and administrative service to the Arrhythmia Care Co-ordinators
  3. Take appropriate action with regard to telephone calls from parents/carers of patients, GPs and other agencies using initiative, within broad guidelines outlined by the Arrhythmia Care Co-ordinaotrs/ Service Line Cluster Manager.
  4. Ensure accurate messages are taken for the team and delivered in timely manner.
  5. Prioritise own workload.
  6. Maintain an up-to-date diary for the clinical team, liaising with external and internal contacts and organisations as necessary.
  7. Sorting and dealing with all correspondence and keeping a satisfactory record and filing system to ensure swift retrieval of information.
  8. Provide administrative support to the Arrhythmia Care Co-ordinators in respect of work relating to teaching, research, NHS medical reports, charities and publications, including organising meetings, agendas and minutes.
  9. Assist with the improvement and presentation of data collection using appropriate computer software to achieve effective results.
  10. Ensure effective communication with all members of a multi-disciplinary team.

Person Specification

Essential

  • NVQ level 3 in either business administration or related subject or equivalent demonstrable experience

Desirable

  • Typing to OCR 3 (or above) standard or equivalent demonstrable experience
  • Recognised medical secretary qualification and/or equivalent

Knowledge & Experience

  • Previous demonstrable secretarial experience
  • Previous demonstrable experience in the use of word processors/data base/spreadsheet packages
  • Demonstrable experience of audio transcription

Aptitude & Abilities

  • Ability to accurately touch type
  • Excellent communication and interpersonal skills
  • Good communication skills, written and verbal, with ability to demonstrate fluency, clarity and effectiveness at all levels

Desirable
