Summary & Purpose of the Position
The Manager, Asset Operations – Sub Team Planner (STP) is to work as the main point of operational support to the Asset Sub Teams.
Fully embedded in the Asset Centric Model, the STP is the strategic planning anchor for the Asset Sub Teams, ensuring that operational execution is fully aligned with the asset strategy. Acting as the right hand to the Sub Team Lead, the STP designs, maintains and drives the execution of integrated sub‑team plans, ensuring that all deliverables are anticipated, sequenced and tracked with precision.
This role requires a proactive and structured planning mindset, capable of translating strategic objectives into actionable roadmaps, identifying critical paths and managing interdependencies across functions. The STP ensures that sub‑team contributions are delivered on time, within budget and with full transparency to the Asset Core Team. They also play a key role in scenario planning, risk mitigation and resource forecasting, enabling informed decision‑making and agile course correction.
In addition to asset‑specific responsibilities, the STP may lead or contribute to transversal initiatives within GPO, focusing on planning excellence, operational efficiency and process optimisation.
Main Responsibilities & Technical Competencies
Sub Team Operational Leadership
- Work in partnership with the Sub Team Lead and Sub Team Functions’ representatives to create and maintain the sub team’s operational roadmap derived from overall asset strategy execution (including LCM and partner activities)
- Create an environment that fosters personal investment and excellence and nurtures commitment to common goals.
- Facilitate the process for evaluation of alternative options (scenarios) to deliver sub team objectives.
- Facilitate win/win solutions for sub‑team conflicts with the big picture in mind.
Sub Team Operational Management
- Lead the development and continuous refinement of the Integrated Sub Team Plan, ensuring it reflects strategic priorities, functional inputs and interdependencies. The plan should be a living document, updated regularly (at least once a month) to reflect progress, risks and changes in scope.
- Establish robust planning processes, including milestone mapping, scenario planning and assumption validation, to support decision‑making and ensure alignment with the global asset plan.
- Drive planning discipline across the sub team, ensuring that timelines, deliverables and resource needs are clearly defined, tracked and communicated.
- Champion planning tools and methodologies, ensuring consistent use across sub teams and enabling accurate reporting, forecasting and performance tracking.
- Facilitate planning workshops and alignment sessions, bringing together cross‑functional stakeholders to co‑create and validate the sub team roadmap.
- Ensure connection and alignment between sub team plan and the global integrated asset plan through close collaboration with the Sub Team Lead and the Asset Operations Lead (AOL).
- Create and maintain the Sub Team Assumptions slide as a key input to the sub team plan, scenario planning, risk analysis, budget and valuation.
- Define interdependent deliverables and ensure that quality, risk, cost and time are managed within the overall approved plan to drive delivery of sub team roadmap milestones and objectives on time and on budget.
- Drive milestone decision‑point planning and associated deliverables across functions to achieve the overall sub team’s objectives.
- Clearly define the critical path and generate clear decision criteria for the sub team deliverable roadmap.
- Closely and proactively monitor the execution of the sub‑team plan, measure results and communicate deviations/discrepancies to Sub Team Lead and AOL, specifically focusing on:
- Deliverables on time / at risk
- Key milestones
- Budget / Resource Contingencies
- Resource constraints if required.
Identified operational challenges and deviations and drive correction of deviation to ensure successful sub team delivery.
- Serve as the central operational point of contact for team members and Sub Team Lead.
- Ensure decisions and actions are taken and tracked in due time.
- Responsible for ensuring that all functions deliver with precise execution, in time and within budgets.
- Comply with all laws, regulations and policies that govern the conduct of IPSEN activities. Always follow IPSEN policies, procedures and processes (including GPO ones, such as governance process).
- Actively adhere to a Quality Management System (QMS) that supports GxPs and regulatory requirements and satisfy all internal quality and external regulatory authority expectations.
Risk Management
- Apply a comprehensive risk management methodology using available tools and templates that proactively identifies and tracks sub team risks and opportunities together with developing and delivering appropriate contingencies and/or corrective actions to support the sub team in development of solutions to conflicts and issues.
- Apply a understanding of risk management methodology to communicate effectively with Asset Team and underpin sub team’s strategy and delivery.
Budget and Resource Management
- Partner with the Sub team Lead and the sub team function representatives to ensure that budget and resource management are established.
- Support AOL to lead budget sessions at intervals that align with Finance budget/forecast calendar delivering and to translate decisions to team and project budgets.
- Ensure all supportive materials and data are provided for tax credit requests on due time.
- Support sub team lead to ensure resource, cost and schedule are up to date to enable long‑term planning.
Knowledge Management
- Perform “lessons learned” workshops to identify sub team’s learning to be applied across the asset teams on an as‑needed basis (at minimum at stage/gate).
- Develop a mindset around benchmarking versus competitors and use this approach to challenge plans and decisions with the sub team and to pressure‑test scenarios.
Communication and Reporting
- Effectively communicate asset roadmap expectations to sub team members. Escalate issues to sub team lead, sub team members, AOL, and stakeholders in a timely fashion.
- Prepare and manage governance interactions in partnership with the AOL.
- Define and implement a communication strategy/plan for the sub team that supports the most effective empowerment and progress.
- Define and report metrics to measure sub team performance (in collaboration with sub team lead), while executing the sub team plan.
Sub team Planner, competency matrix:

Monitors costs within the approved financial framework. Supports cost‑tracking reports. Works with finance/functional representatives.

Communicates with sub team and sub team lead. Presents updates internally but has limited exposure to senior leadership discussions.
Cross‑Functional Team Leadership
Coordinates sub team members across sub team functions. Ensures clear task ownership and follows up on execution.
Data, Data Management & Analytics
Collects and organizes project‑related data using basic tracking tools. Supports reporting.
Change Management & Process Improvement
Adapts to changes in project scope. Follows established processes but has limited influence on improvements.

Knowledge & Experience

- 1‑3 years’ experience in the Pharmaceutical / Biotech industry and / with understanding of the drug development process, clinical development and project management.
- Expertise in planning tools, planning methodologies and cross‑functional planning coordination.
- Experience in leading operations (i.e. project management) in cross‑functional teams.
- Agility, proactivity, problem solving and leadership skills and emotional intelligence to lead with influence.
- Ability to work collaboratively in a cross‑functional environment.
- Excellent communication (written and verbal) and interpersonal skills.
- Financial acumen to understand/manage program budgets.
- Experience in facilitating project team meetings, cross‑functional communication, decision making and ensuring alignment with internal/external stakeholders.
- Experience at working both independently and in a team‑oriented environment.
- Ability to effectively prioritize, multitask and execute tasks in a fast‑paced environment.
- Important sense of urgency and ability to pace the team work to complete milestone achievement in a highly competitive environment.
