About the Role
We are looking for someone with exceptional organizational and administrative abilities who thrives on managing multiple priorities with precision and strong time management. The successful candidate will demonstrate a proactive work ethic and drive for excellence. In this varied role, you\'ll coordinate diverse initiatives and work directly with clients and key stakeholders. We are seeking someone who can bring strategic thinking and attention to detail to help drive projects forward.
ROLE AND RESPONSIBILITIES
- Planning: Collaborate with CWG internal stakeholders to create a comprehensive plan for the upcoming 2-3 years, encompassing all global events, exhibitions and fairs. Maintain a shared art fair and exhibition calendar noting all relevant dates and locations. Develop and maintain critical timelines and schedules for a global scope in liaison with internal stakeholders.
- Collaboration: Liaise with CWG departments (directors, production, logistics, sales, marketing, digital, studio, gallery managers, finance) and external stakeholders (fair management, etc.) to deliver exhibitions and fairs within budget and to the highest quality while keeping internal systems up to date by stakeholders. Adhere to a consistent planning and execution process to manage all exhibition details. Manage all exhibition planning, coordination and timeline with the wider team.
- Budget: Develop, maintain, and administer budgets for all relevant projects and maintain financial overview. Track and analyse results against agreed KPIs (sales, new contacts, traffic, ROI, etc.), develop reporting cycles and provide strategic recommendations to internal stakeholders. Keep up to date with available bursaries and partnerships for the gallery and artists.
- Project Design: Oversee the design and layout of the exhibition space, making strategic decisions regarding artwork or design placement. Coordinate with the founders and external partners (scenographer, artists, curators) for the presentation, ensuring a visually engaging space aligned with the overall concept. Production of 3D renderings for fairs and exhibitions.
- Transversal: Management of loans and consignments agreements for the gallery at large. Monitor and assess technological developments and their impact on the gallery. Support strategic goals for client activations globally and new global initiatives and partnerships. Prepare carbon footprint reports for each fair and exhibition and work with the Green Team to determine best practices in reducing carbon equivalent emissions, waste, etc.
Qualifications for this Role
- Excellent English and French written and verbal skills
- Ability to research and prepare cost estimates, develop and successfully manage budgets
- Confidence within the global arts ecosystem, and experience working within a small team
- Strong interpersonal and relationship management skills
- Excellent organisational, administration, communication and time management skills, with the ability to coordinate multiple workstreams concurrently, both independently and collaboratively
- Capacity to use various software programs to create floorplans and 3D renderings
- An architectural background would be a plus
- Minimum of 2 years\' experience in the art world (shipper, gallery, auction house, museum) a necessity
