MISSIONS AND RESPONSIBILITIES:
- High-Level Secretariat Management: Manage the daily operations of the Secretary General’s office, including complex calendar management, scheduling and correspondence.
- Strategic Liaison: Act as a primary point of contact for international stakeholders, ensuring the Secretary General is fully prepared for high-level institutional and governance engagements.
- Events: Provide administrative and logistical support for major FIA governing events, including the FIA Conference and the Annual General Assembly, Regional corporate & Sporting events, Team events.
- International Travel Coordination: Organise global travel arrangements for the Secretary General, including multi-region itineraries, visas and logistics.
- Confidential Documentation: Draft, translations and management of sensitive documents, reports and presentations related to sport-wide strategic initiatives. Provide personal administrative support, in French and English.
EXECUTIVE ASSISTANT TO THE SECRETARY GENERAL FOR SPORT
TEAM SUPPORT
- Team Support: Under the pillars of Sport Clubs Liaison, Motorsport Funding Program, Education & Training, Sport Clubs Development and Motorsport Officials provide both on-going and ad-hoc support relating to:
- Administration: Support the successful development and delivery of projects.
- Logistical coordination: Concerning projects, events, equipment and people.
- Programme tracking: Support the ongoing progress of delivering projects.
PROFILE:
- University degree in business administration, sports or international relations.
- At least 5 years’ experience as an Executive Assistant supporting senior management, ideally within a Sports International Federation, NGO or complex member-based organization.
- Full professional fluency in English and French. Professional fluency in Italian and/or Spanish are a plus.
- Outstanding organisational, planning and multitasking skills in a fast-paced, global environment.
- Proven ability to handle highly sensitive information with discretion, diplomacy and professionalism.
- Advanced proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Teams).
- High resilience to stress and change; flexible and adaptable.
- Strong interpersonal skills with the ability to interact confidently with senior leaders and international dignitaries.
